Be responsible for the collection and counting of all money and vouchers.
Collect roll-up green fees before start of play.
Check league cash envelopes and report any differences to the relevant signatory.
Reconcile office/shop and bar tills.
Empty cash from coffee machine and maintain supplies.
Produce breakdown of Company income and pass to Bookkeeper.
Prepare banking summary (cash and cheques) for paying into bank.
Prepare envelopes for the collection of rink fees for all competitions.
Manage membership renewal payments.
Submit quarterly solar panel readings.
Check and sign invoices, where permitted, before passing them to Directors for payment.
Check payments made via the card reader against the bank account.
BOWLS CENTRE CO-ORDINATION
General office administration.
Enter fixtures, 'roll-up' details and regular visitor details into the Clubs 'Rinx' booking system.
Ensure best use of rinks to maximise income.
Maintain a list of allocated lockers and allocate lockers to members as required.
Maintain a register of members including shareholder data.
Maintain the list of members addresses, telephone numbers and email addresses.
Liaise with the Chair of the Board of Directors regarding reports for Annual Returns.
Produce relevant documentation as directed by the Chair of the Board of Directors.
Assist in maintaining the Office Procedures manual.
Support the requirement to 'grow the Club' and explore sponsorship and funding as well as broaden the scope of the Club to the wider community.
SHOP DUTIES
Liaise with members/potential new members/visitors/suppliers.
Undertake selling to shop customers.
Order and price new stock in accordance with agreed procedures.
Manage a stock control system.
Undertake stock counts as required and evaluate individual lines at cost prices.
SECURITY (opening and closing of the Club)
Be responsible for a full set of keys.
Maintain the register of keyholders.
Maintain the rota of staff responsible for the Club open and closing, including evenings and weekends.
Ensure all keyholders know how to secure the building and deal with fire alarms etc.
Be security aware and help draft the Club premises opening and closing procedures.
Attend out of hours in emergencies.
Monitor Club CCTV cameras as appropriate.
STAFF
Maintain a list of volunteers.
Train and supervise office/shop volunteers.
Liaise with the caretaker to report any defects or damage that requires attention (on a daily basis where possible).
Liaise with Club Captains to ensure Club opening and closing at weekend matches.
FUTURE DEVELOPMENT
Assist the Board in planning and implementing change. Changes may include the introduction of online rink booking, a magnetic card entry system and internal/external alterations to the building.
OTHER DUTIES
Maintain Accident Book and report to the Chair of the Board of Directors as necessary.
Monitor Guest Book.
Any other duties appropriate to the post as required.
