Job Description

Working for a private household, our client is looking for a full time Office Manager, based in London (near Kensington), to effectively manage the seamless day to day running of office operations.

The Office Manager will be key in setting and maintaining standards for the running of the office which includes, but is not limited to, managing office administration, office supplies, Health and Safety, office events and managing team members.

About the role:

Responsible for ensuring all office maintenance and repairs are undertaken; Managing vendors and suppliers to ensure all contracted services are delivered according to the terms and conditions of the service level agreements; Act as a point of contact for all supplier queries and establish and maintain relations; Project manage and coordinate active and new refurishment, moves and changes projects in collaboration with external and internal parties Manage and negotiate contracts with office vendors and service providers; Ensure all regular servicing is carried out and audit logs are kept in good order; Where appropriate manage the operational running of the office; Maintain office and kitchen supplies (stationery, cutlery, crockery, tea, coffee); Source quotes for supplies; Manage the staff lunch provision, ensuring the relevant employees are supported and equipment and resources are in place; Ensure office facilities (printers, photocopiers) are fully operational and be a key point of contact for IT related services; Manage filing and ensure storage space and facilities are sufficient, including shredding in line with requirements; Ensure compliance with Health and Safety at all times; Set up First Aid training and Fire Safety training for staff and maintain register of certified staff and contact details; Ensure First Aid and Fire Marshal boxes are maintained and properly stocked; Carry out risk assessments, and ensuring PAT (now EET) testing is conducted; Be point of contact with local authorities in regards to food safety; Prepare and oversee internal office moves and space planning with the wider Operations team; Support project management for office refurbishments; Collect and distribute post in a timely manner - be the main point of contact.

About the person:



Be able to establish relations with wider teams, and in particular, security to ensure smooth running of the office; Previous experience within Office Management and Administrative support in a corporate environment; Project management experience for moves, changes and ideally fit outs May have previous line management experience; Have a positive, enthusiastic, pro-active approach; IT support experience or management Possess high levels of organisation and attention to detail; Maintain the highest levels of discretion and tact; Ability to effectively prioritise competing workflows; Remain calm and measured under time pressures, ability to think on your feet; Have a team-oriented mindset with willingness to collaborate where required; Have excellent communication skills - written and verbal; Proficient in MS Office - Word, Excel, PowerPoint and Outlook; Experience in handling highly confidential information.

Hours of work:



The position is full-time, 37.5 hours a week worked Monday to Friday with the requirement to be flexible to meet the needs of the role or urgent demands. The role is predominantly based at the London office however there will be the requirement to travel on an ad-hoc basis to other locations within the U.K.
