With a commitment to professionalism, compliance, and customer service, we are looking for an experienced and proactive Office Manager to support the ongoing growth and daily operations of our business.
Role Overview
As Office Manager, you will play a pivotal role in ensuring the efficient day-to-day running of the Tamar Security office. You will oversee administrative processes, support the team, maintain compliance with industry regulations, and help ensure the delivery of outstanding service to our clients.
You will also be responsible for implementing and monitoring our Quality Management System (QMS), managing personnel administration, conducting staff appraisals, and acting as a key point of contact for customer queries, quotations, and office-based problem-solving.
Key Responsibilities
Office & Staff Management
Oversee the day-to-day operations of the office to ensure smooth, efficient, and compliant processes
Supervise and support admin staff, assisting with workload and resolving complex queries
Conduct annual appraisals for office-based staff and submit detailed reports to the Managing Director
Ensure staff adhere to company policies and procedures
HR & Recruitment Support
Carry out new staff inductions in line with Tamar Security policy
Verify ID documents and right-to-work status before submitting applications to NSSA for security screening
Maintain accurate, GDPR-compliant personnel records
Coordinate staff training and ensure all certifications are current
Customer Service & Communication
Assist admin staff in resolving customer issues or service concerns
Follow up on customer enquiries not immediately resolved
Handle escalated contract queries and negotiate resolutions to customer complaints and invoice disputes
Oversee the preparation and dispatch of customer quotations and formal correspondence
Ensure all quotations use the correct pricing structure and comply with internal and industry standards
Quality & Compliance
Implement and monitor Tamar Security's Quality Management System (QMS)
Conduct internal audits and maintain compliance with NSI and BAFE standards
Review and update policies and procedures as required
Promote a culture of continuous improvement across the business
Liaise with police and alarm receiving centre. Review police force policy and update police force audits as and when required. Keep records of individual police force contact details and requirements. Keep records of systems on and off response and advise customers of warning letters and withdrawal of police response.
Finance & Reporting
Support the finance team with invoicing, purchase orders, and credit control tasks
Health & Safety
Ensure all risk assessments, H&S records, and employee training are up to date and compliant
Work with management to uphold safe working practices in line with legal and industry requirements
About You
Skills & Experience:
Proven experience in an Office Manager or Senior Administrator role, preferrably within the fire and security sector, or a similar service industry
Experience in QMS implementation and compliance
Strong written and verbal communication skills
Excellent organisational and time management abilities
Confident in handling sensitive customer and staff issues professionally
Proficiency in Microsoft Office and CRM/administration software
Attention to detail and a proactive approach to problem-solving
