THE ROLE
Office Manager - Glasgow
Role Overview:
As the Operational Support Services Manager, you will be responsible for overseeing the efficient operation of office environments in Glasgow, Edinburgh, and Stirling, ensuring seamless workflow, high productivity, and a welcoming atmosphere for employees and visitors alike. Your role will include supporting the Head of Operational Support with group-wide operational initiatives and projects, contributing to the overall success of the business.
This position is integral to maintaining operational effectiveness across multiple office locations, enhancing day-to-day functionality, and supporting various business units. While the majority of your time will be spent at the Glasgow office, regular travel to the Edinburgh and Stirling offices, as well as ad-hoc visits to other locations, will be required to ensure consistency in operations.
Core Responsibilities:
Oversee the efficient operation of the Central Scotland offices (Glasgow, Edinburgh, and Stirling), managing all general administrative activities, including office systems planning, workspace layouts, and procurement of equipment and supplies.
Provide high-level administrative support to the Glasgow and Stirling Leadership Teams. This includes working closely with the Heads of Office, attending leadership meetings, taking minutes, and tracking action items to completion.
Manage and lead the Front of House service across all AAB UK locations, ensuring a seamless hospitality experience, effective meeting room calendar management, and a consistently high standard of service for all visitors.
Support the Head of Operational Support Services with ongoing and ad hoc projects, such as maintaining records for outsourced services (e.g. telephone support), assisting with new initiatives and integrations.
Collaborate with the Facilities Lead to coordinate maintenance, repairs, and service provider management for the Central Scotland offices.
Work in partnership with the Events Team to support and coordinate internal events, including room setup, catering arrangements, guest hospitality, and event logistics.
Prepare content for the monthly Glasgow/Stirling virtual "Gathering" meeting on Microsoft Teams, including collecting updates, photos, and assembling the presentation deck.
Ensure full compliance with health and safety regulations across all Central Scotland offices, actively promoting safe working practices.
Champion and support sustainability initiatives within the Central Scotland offices, working collaboratively to implement environmentally conscious practices.
Maintain a comprehensive understanding of AAB policies and procedures, ensuring compliance and the effective rollout of new initiatives among team members.
Where necessary, act as the primary point of contact for office-related queries from team members and visitors.
Manage and support ad hoc administrative and data entry requests from Business Units as needed.
Assist colleagues in the Operational Support Services team with project-based tasks and other responsibilities as required.
Key Skills and Attributes:
Excellent communication and organisational skills.
Proficient use of Microsoft Outlook and Teams. Word, PowerPoint and Excel knowledge is advantageous.
Ability to manage multiple tasks.
Ability to engage with a range of stakeholders and clients.
Role Requirements:
Experience in an office environment Front of House role and an understanding of a professional services organisation is advantageous but not essential.
A proactive and positive attitude to problem solving and the ability to work independently as well as part of a team.
