Office Manager / Bookkeeper - Civils Industry



Job Overview



We are looking for an experienced and highly organised Office Manager / Bookkeeper to support the smooth running of our civil engineering business. This role involves managing day-to-day office operations, handling financial administration, and supporting our teams with accurate record-keeping and communication. The ideal candidate will have experience in office administration, bookkeeping, and working within the construction or civils sector.

This position would suit someone semi-retired seeking 2-3 days per week, though full-time hours are available for the right candidate.

Responsibilities



Manage daily office operations to ensure an efficient, well-organised working environment. Handle bookkeeping duties including QuickBooks, financial record-keeping, CIS processing, invoicing and reconciling accounts assisting payroll department. Prepare and issue invoices to large clients, track payments, and support monthly reporting processes. Maintain digital and physical filing systems and ensure accurate documentation of jobs, orders and site records. Provide administrative support to management and site teams, including scheduling, document control and correspondence. Answer calls professionally, demonstrating strong customer service and phone skills. Support HR tasks such as onboarding new starters, maintaining staff records, and booking training. Liaise with clients, suppliers and subcontractors, ensuring clear communication and prompt responses. Assist with budgeting, cost tracking and general administrative tasks.

Requirements



Proven experience in office management, bookkeeping, or administrative roles. Strong understanding of SAGE and general accounting processes. Knowledge of CIS (Construction Industry Scheme) is highly advantageous. Experience invoicing and working with large commercial clients. Excellent verbal and written communication skills with confident phone etiquette. Strong organisational skills and the ability to prioritise workloads. Ability to work independently and manage multiple tasks.
Previous experience within the construction or civil engineering sector is preferred.
