Position Title: HR / Office Manager / Personal Assistant / Executive Assistant

Location: Harrow on the Hill (Fully On-Site)

Working Hours: 8:30am - 6:00pm, Monday to Friday

This role is essential to supporting the company's growth, productivity, and operational efficiency.

This multi-faceted position combines HR duties, office management, and high-level PA/EA support, as well as household coordination for the directors. The ideal candidate is organised, proactive, tech-savvy, and comfortable supporting both business operations and personal responsibilities. This role is fully in-office and critical to ensuring the smooth running of the company's day-to-day activities.

Key Responsibilities

Full diary, email, and schedule management for directors.

Booking travel, preparing itineraries, and handling all visa applications.

Supporting family and household-related tasks on behalf of the directors.

Weekly meetings with the House Manager and tracking follow-up actions.

Managing insurance renewals, claims, personal admin, and staff logistics.

Liaising with contractors, suppliers, and household staff.

Handling onboarding/offboarding, contracts, HR files, and compliance documentation.

Maintaining personnel records, attendance logs, and performance review reminders.

Submitting staff costs, timesheets, and expenses to accounts.

Ensuring smooth and structured internal communications.

Overseeing the daily running of the office to ensure a professional, well-organised environment.

Procuring and stocking office supplies; managing supplier and vendor relationships.

Submitting office expenses to accounts and monitoring budget usage.

Troubleshooting basic IT and tech issues confidently.

Managing office maintenance, service schedules, and facilities coordination.

Reporting & Systems Management

Preparing daily, weekly, and monthly operational and performance reports.

Using Zoho for CRM, HR, and reporting functions.

Implementing and managing task-tracking platforms such as Asana and ClickUp.

Ensuring tasks, deadlines, and project workflows are monitored and completed.

Property & Household Coordination

Organising home maintenance, renovations, and contractor visits.

Managing household procurement, inventories, and organisational tasks.

Supporting family-related logistics and personal undertakings.

Skills & Experience Required

Proven experience in HR administration, office management, and PA/EA roles.

Strong proficiency in Zoho, Asana, ClickUp, and general office software

Strong Excel capability and excellent IT literacy

Exceptional organisational and time-management skills.

Confident communication and strong interpersonal skills.

Proactive, solutions-oriented, and able to manage multiple priorities.

Comfortable working independently in a fast-paced, growing team.

High level of confidentiality and discretion.

Pay: 30,000.00-37,500.00 per year
