SPT Labtech has a great opportunity for an experienced Office Manager/Personal Assistant to join our team. Reporting to the Senior Executive Assistant you\xe2\x80\x99ll be providing first class PA support to our Executive Team and be responsible for the smooth running of our head office and manufacturing facility based in Melbourn. You\xe2\x80\x99ll have a hands on, can do, positive attitude with a keen eye for detail.

About the role

  • Manage the office, including the Facilities & Office Administrator, deputising where necessary in their absence.
  • Deputising for the Senior Executive Assistant in their absence.
  • Provide PA support to the Executive team, including inbox and diary management, travel including visa\xe2\x80\x99s and posted worker compliance.
  • Maintain and develop efficient administrative processes and SOP\xe2\x80\x99s.
  • Maintain and update confidential Executive files and filing.
  • Ensure insurance documents are up to date and displayed as required.
  • Organise internal and external meetings (Town Halls, customer meetings etc).
  • Provide ad hoc support for the wider leadership team and sister companies.
  • Assist in organising Social Events alongside our Events Marketing Manager like (Christmas Parties/Summer BBQs)
  • Produce general correspondence to both internal and external stakeholders.
  • Approve invoices and arrange payments, raising purchase orders.
  • Liaise with the Notary where required.
  • Completion of expenses on behalf of the Executive Team and the Board.
  • Any other administrative tasks, as required to include:
  • Answering the phone, First Aid and Fire Marshal duties, taking notes/actions/minutes in meetings.
About you & your skills

You will be:
  • An experienced, confident and hands on Office Manager/Personal Assistant with a strong amount of experience in a similar role.
  • An exceptional communicator, both written and verbal, with an excellent telephone manner with good attention to detail.
  • Able to multitask and prioritise multiple workloads.
  • You\xe2\x80\x99ll be a proactive problem solver.
  • Proficient in MS Office applications, with excellent PowerPoint and Excel skills.
  • Professional and comfortable maintaining confidentiality.
  • Experience in delivering high-quality/accurate administrative support to senior individuals and teams.
