Your role: As our Managing Editor Office Admin Assistant, you\'ll play a pivotal role in ensuring the seamless operation of our editorial team. Your sharp organisational skills and keen eye for detail will help keep our newsroom running efficiently. From managing schedules and coordinating meetings to assisting with editorial tasks, you\'ll be an essential part of our editorial process.

Day to day you will:

  • Assist in inputting lineage and picture payments via the SAP-based internal payment system (ECS). This will include inputting payments while members of the Sun Admin team are on leave.
Fully understand all Compliance policies in relation to payments and ensure each policy is adhered to by all admin staff.

Ensure all staff have attended / complete Compliance training sessions.

Assist with ensuring The Sun is working within News UK and News Corp Payment Policy compliance guidelines and report any non-compliance to the Managing Editor.

Process Accounts Payable invoices via Fiori.

Batch contributor expenses for processing.

Provide cover for Admin team assistants and Sun EA\'s as and when required.

Work closely with Finance and the Managing Editor\'s office where necessary to ensure a smooth beginning-to-end payment process.

Assist the Head of Editorial Compliance with administration relating to complaints. To include the timely updating of spreadsheets and databases, emailing complainants, compiling records and other general admin.

Carry out general administrative support for the team which may include dealing with post, updating diaries, filing, photocopying, scanning, booking meetings, booking lunches, sending gifts, responding to invites, running personal errands, booking travel and maintaining records in databases.

Look for instances where processes could be developed for improved efficiency.

Develop positive and productive working relationships across key support areas, becoming a point of contact alongside other members of the MEO for Facilities, Technology, Finance and HR.

  • Able to work calmly under pressure and meet tight deadlines
Previous experience of admin in a large and fast paced organisation.

An ability to adapt to a changing work environment as required

Punctual and is always prepared to \'go the extra mile\' where necessary

Able to work off own initiative and as part of a team

Knowledge of Microsoft Office packages, especially Word and Excel

Knowledge of Google Mail G-Suite

Track record of having delivered excellent admin support and services

Able to quickly build rapport with colleagues
