Office / Senior Coordinator - Lettings




Location:

Knightsbridge


Hours:

Office based Monday to Friday 8:30 am - 6:00 pm


Salary:

26,500 - 28,000 DOE + commission


Overview of Key Duties:




This role provides essential administrative and operational support to the Lettings team at Chestertons, ensuring smooth day-to-day function and high-quality client service. Key responsibilities include:




Document Management


Organise, prepare, and maintain all documentation related to property lettings and sales, ensuring accuracy and compliance with company standards. Manage property listing documents, pre-offer paperwork, and tenancy-related files, ensuring they are correctly formatted, up to date, and stored in the appropriate systems. Support the team by tracking document completion and ensuring all required records are available for internal and external stakeholders.

Data Entry & Database Management


Input and update detailed property information, landlord and tenant records, and transactional data across internal CRM and property management systems. Perform routine data audits to ensure information is accurate, consistent, and compliant with regulatory requirements. Assist in generating reports and pulling data to support team performance and operational needs.

Scheduling & Coordination


Coordinate and schedule client appointments, property viewings, valuations, and team meetings in line with staff availability and business priorities. Manage the office calendar proactively, ensuring minimal scheduling conflicts and smooth coordination between negotiators, clients, and third-party suppliers. Provide timely updates to team members about changes, cancellations, or new bookings.

Correspondence & Communication


Act as a first point of contact for incoming queries by phone, email, and mail, ensuring communications are handled professionally and escalated when required. Draft and send correspondence on behalf of the lettings team, maintaining a high standard of clarity and client care. Support client engagement by ensuring all follow-ups are completed promptly and records are updated accordingly.

Anti-Money Laundering (AML) Support


Assist with AML compliance checks, including collecting and verifying client identification and supporting documentation. Ensure all AML records are correctly filed and tracked, escalating any issues or discrepancies to management. Support adherence to regulatory requirements by following established AML processes and contributing to audit-ready documentation.

File Progression Support


Assist in preparing files for the progression stage once offers are agreed, ensuring all relevant documentation and information is complete. Liaise with negotiators, clients, and other departments to gather any outstanding details needed before formal progression. Help maintain an organised workflow to support a seamless transition from offer to completion or tenancy start.
