Job Description

We have an exciting opportunity for two Operational Administrators to join our Customer Service department based in Basingstoke.

This is a Fixed term contract for 12 months and will be office based in our offices in Basingstoke.

Key Activities include:

Proactive

Operational Administrator

to support our fully managed vending service operation. This role is central to maintaining accurate inventory across vans, storerooms, micro markets and vending machines, while ensuring smooth coordination and collaboration with operators and third-party suppliers. The ability to work in a fast-paced environment with accurate data entry. Possible split shifts required to ensure operator support is available early mornings.

Stock Management & Data Accuracy



Monitor and maintain accurate stock levels across vending machines, vans, and storerooms

Correct stock entry errors in inventory systems and reconcile discrepancies

Ensure timely and accurate input of stock movements and replenishments

Generate regular stock reports for internal review

Maintain accurate Product configurations (Planograms) in Easyweb to facilitate the correct products being loaded into machines.

Maintain and update product masterdata in Vending Management System

Auditing & Compliance



Conduct scheduled and adhoc stock audits on vans and storerooms

Investigate and resolve variances between physical and system stock

Maintain audit trails and ensure compliance with company procedures

Support continuous improvement in inventory control processes

Maintain accurate information in Easyweb to support the accurate recording of machine counter readings in the field.

Operator & Supplier Coordination



Provide day-to-day support to vending operators regarding stock queries and operational needs

Communicate stock availability and delivery schedules to operators

Liaise with third-party suppliers to place and track stock orders

Ensure smooth inbound and outbound stock flow to meet service demands

Skills & Qualifications



Experience in inventory administration, logistics, or vending operations

Strong attention to detail and data accuracy

Proficiency in inventory management software (e.g., Vending Management Systems, SAP or similar)

Excellent communication and coordination skills

Ability to work independently and manage multiple priorities

Basic understanding of supply chain and audit principles

KPI's

98% OEEs / Inbox same day SLA for all enquiries / Reduction of Micromarket Wastage / On time in full adhoc requests such as price increases

Customer Focus

Work alongside the wider operations teams to ensure the customer end to end experience is best in class

Able to identify system related issues and work with all internal stakeholders to rectify the issues

Escalate operator error for improvement working with the RMOs

Customer Services

Support in business wide projects e.g. new product launches, continuous improvements etc

Compliance

Liaise with internal departments to ensure data integrity and workflow consistency

Assist in implementing robust data quality control measures designed to ensure consistency and reliability

Ensure Reliance auditing system and team SharePoint is maintained with relevant documentation

Skills and Qualifications:

Excellent English and communications skills

Highly organised and articulate

Effective time management through a strong multi tasked agenda

Able to work at a fast pace

Strong attention to detail & high level of accuracy

Able to deal with ambiguity

Confident to challenge processes when necessary

Extensive Excel knowledge

Knowledge of Sales Force & SAP
