MSS Group, part of the RSK Group have an exciting new opportunity for an ambitious and driven individual to join their team as an Operational Support based in Cardiff, UK.
The Role:
Responsibility for operational support to the entire team, managing and maintaining commercial information and ensuring compliance with contractual requirements and the business objectives.
Duties & Responsibilities:

  • Management of the daily operations in the most efficient manner possible in line with Contract requirements and budgets
  • Management of labour capacity/availability against contract requirements, short, medium and long term.
  • Assist in providing accurate and concise quotations, proposals and tenders
  • Manage the procurement process within the business including the issuing of instructions and orders ensuring optimum value and service from all suppliers and sub contractors.
  • Assist Business Director is compiling monthly payroll information
  • Assist the team in building relationships with client base to enhance offering and create opportunities
  • Support management team in delivering their daily tasks and objectives
  • Attend regular internal management meetings ensuring the relevant reports are provided
  • Assist Business Lead to measure and manage the overall business commercial performance against budgets, including forecasting to enable regular updates to Compliance Services Director
  • Identify opportunities to eliminate waste to enable work to be carried out in a xe2x80x98lean and efficient manner.
  • Regularly review systems and processes to enable continuous improvements in terms of efficiencies and outputs
  • Management of van issues: ad hoc, breakdowns, servicing, parts, tyres, etc.
  • Coordination of team logistics: daily work locations, transport, and personnel.
  • Easybop planner collation and organisation.
  • Management of vehicle loans and insurance.
  • Monthly wage processing.
  • Invoicing: logging, submission, and daily supplier/sub-contractor queries.
  • Holiday booking and entry into Chronicle.
  • Contract uploads and weekly works planner allocation in Chronicle.
  • Weekly agency timesheets (Indigo, Bridgestone, Mech Tech) and orders (by Tuesday midday).
  • Recording all absences in Chronicle (every Monday by midday).
  • Logging enquiries to sales/enquiry tracker and forwarding to Mike/Bec.
  • Generating wages/spend breakdowns and reports as required.
  • Submitting monthly application to Vinci with full supporting documentation.
  • Assistance with VB1s and cost breakdowns for completed VIVO works.
  • Logging absences in Easybop and Chronicle.
  • P&L checks on large-scale projects.
  • Raising all purchase orders (POs).
  • Organising accommodation bookings for 20+ operatives across UK sites.
  • Scanning and compiling job completion documentation for clients and internal folders.
  • Ordering uniforms, starter kits, consumables, and hire equipment; managing off-hires.
  • Weekly overnight expenses coordination.
  • Scheduling and booking tenanted works, bag collections, and filling programme gaps.
  • Compiling completion paperwork for POBL, NCH, CCHA, etc.
  • Collating monthly credit card receipts and matching to POs.
  • Weekly fuel PO allocation to departments.
  • Printing and distributing daily waste notes for all jobs.
  • Managing social housing works: scheduling, tenant communications, failed appointments.
  • Completing Smart Form handovers for staff without tablets.
  • Processing Screwfix orders.
  • Managing inbox and communications (calls, messages, WhatsApp, etc.).
  • Retrofit lodgement (MSS Consulting)
  • Admin support for co-ordinators (MSS Consulting)
Candidate Requirements:
  • Strong numeracy and financial management skills
  • Good understanding of compliance regulations particularly in the asbestos industry
  • Excellent IT skills including competence in MS project and all other relevant IT software
  • Ability to compile clear and precise reports related to each aspect of role
  • Excellent planning skills to identify efficiencies in process and operations
