This is your chance to be part of a team that sparks curiosity and inspires learning through science. Techniquest - a leading science discovery centre in the heart of Cardiff Bay - is looking for a motivated and detail-oriented Operations Administrator to support our Operations and Education teams.
You'll provide first-class customer service to a diverse audience of families, schools, and visitors while ensuring smooth day-to-day operations behind the scenes. This is a vital and varied role that places you at the heart of the visitor experience. As the first point of contact for many of our guests, you'll help create a welcoming, inclusive and informative environment that supports our mission of making science accessible to everyone.
No two days are the same. You could be coordinating school visits in the morning, resolving a ticketing query by lunch, and preparing resources for a weekend birthday party by the afternoon.
What the Role Involves
Act as the first point of contact for telephone, email and online enquiries - including group bookings, birthday parties and educational events.
Manage and process bookings using our ticketing platform (DigiTickets) and CRM system, maintaining accurate customer data.
Respond to messages via social media inboxes and public review platforms in a professional and timely manner.
Support the Admissions & Retail Manager to troubleshoot and escalate issues with DigiTickets.
Liaise with internal teams and suppliers to coordinate birthday party and school event logistics.
Monitor and order essential supplies, including stationery, kitchen items, party materials and catering.
Maintain records of incident reports, booking logs, and visitor feedback to inform service improvements.
Provide cross-team support to Operations and Education teams, including mail handling, data entry and supporting public engagement activities.
Support the implementation of safeguarding, health and safety, GDPR, and access procedures.
Participate in the development of administrative procedures and attend cross-team coordination meetings.
Use a range of digital tools to support daily tasks - including DigiTickets, CRM databases, Microsoft Office, and internal platforms.
We're Looking for Someone Who:
Has GCSE (or equivalent) in English and Maths (Grade C or above)
Has experience in a customer service and/or administrative role
Is a confident IT user with good knowledge of Microsoft Office and database systems
Has strong organisational skills with excellent attention to detail
Communicates professionally and confidently with visitors, schools and colleagues
Is quick to learn new systems and processes, and thrives in a team-oriented environment
Brings a proactive, solutions-focused mindset and manages a busy workload independently
Is flexible and reliable, with a willingness to work occasional weekends or evenings
Desirable:
Experience using CRM systems or ticketing platforms (e.g. DigiTickets)
Experience in a museum, science centre, or education setting
Understanding of the public engagement role of science centres
Welsh language skills
You'll report directly to the Admissions & Retail Manager and work closely with colleagues across the Education, Marketing and Operations teams to deliver a seamless visitor experience.
