COCO Chocolatier is a fast-growing artisan chocolate company known for creativity, bold design, and quality. Based in South Queensferry, we supply stockists across the UK and internationally. We're a small, dynamic team, and we're looking for a confident, proactive team member to support the smooth day-to-day running of our operations.
About the Role
This role is ideal for someone who thrives in a busy, multi-tasking environment. You'll be at the heart of our operations, handling everything from customer communication to dispatch coordination and admin. You'll need to be tech-savvy, organised, and able to juggle tasks without dropping the ball.
Key Responsibilities
Responding to customer service emails and enquiries (B2B and DTC)
Creating and updating spreadsheets and documents
Using our ERP and inventory systems (e.g. Unleashed) to process orders and check stock
Preparing invoices, purchase orders, shipping and customs paperwork
Coordinating with couriers and logistics providers to ensure timely dispatch
Managing and ordering office supplies
Providing admin support to the wider operations team
Greeting visitors and supporting internal meetings as needed
Taking initiative to solve problems and support the team
What You'll Need
Strong admin experience in an operational or customer service role
Confident IT skills, including Excel, Outlook, and document handling
Experience using digital systems such as ERP, CRM, inventory/shipping platforms
Experience with accounting software such as Xero or QuickBooks (preferred)
Excellent written and verbal communication
Ability to prioritise and manage multiple tasks at once
A team player attitude -- willing to help wherever needed
