The Role:
Reporting to the Site Lead the role will primarily be ensuring that the site is fully self sufficient from an administrative point of view including all data entry into the required system, upkeep and maintenance of key records and paperwork, general administrative duties and all other duties as directed by the Site Lead.
Responsibilities:
First point of contact for the Operations team, answering emails efficiently, responding to requests, giving direction to the team and redirecting requests as appropriate.
Data entry on all UK invoices into Financial system (SAGE) ensuring that these are entered accurately and in a timely manner.
Raising & allocating jobs, services, stock & customers on ERP system ensuring high level of accuracy of data.
Administration and coordination of purchase order requirements.
Tracking all incoming and outgoing units into excel.
Document control for Operations department.
Front office duties such as welcoming visitors, ensuring filling of incoming documentation.
Phone support to assist with HQ admin team and ability to deal with calls in a professional manner and pass on the required information to relevant member of the team.
Prepare general correspondence and reports as requested.
Answer all calls in a supportive and professional manner.
Recording & distribution of minutes as required for Operations team.
Arranging pickup & delivery with haulage companies as required.
Responsible for collection & data entry of all Production time sheets.
Booking flights/ferries/hotels etc for the Operations team.
Involvement in ISO audits and preparing for audits.
Arranging service call outs/visits for engineers & contractors.
Processing contractor invoices in a timely manner.
Working closely with contractors to ensure site works are completed.
PA role for Operations as required.
Experience & Qualifications:
Excellent organisational skills and attention to detail.
Previous experience in a similar role is desirable.
Experience of working with an ERP system is ideal - accurate input of key information.
Great customer service skills - working both internal and external customers.
Ability to work with minimal supervision and work off own initiative critical.
Excellent written and verbal communication.
Good working knowledge of Microsoft packages e.g. Outlook, Excel, Word, PowerPoint.
This is a full time office based role in Ellesmere Port area.
