OVERVIEW

Nirvana Brands is a distributor of latent brands of leading international fragrance companies. Currently we work with the following brands: GUY LAROCHE, PALOMA PICASSO, GLORIA VANDERBILT, MAROUSSIA, DANIEL HECHTER, EAU JEUNE, ROLLING STONES, SARAH JESSICA PARKER, ANTONIO BANDERAS AND SHAKIRA.

JOB PURPOSE

Nirvana Brands are seeking a proactive individual to assume the role of Order Management and Logistics Coordinator. The ideal candidate will be a self-starter with a proven track record of delivering exceptional customer support and experiences, preferably with a background in shipping and logistics. In this role, you will be responsible for overseeing the efficient management of orders and coordinating the seamless flow of stock from Nirvana's warehouses to our valued retailers and customers.

KEY DUTIES AND RESPONSIBILITIES

Collaborate closely with the operations team to process customer orders, address inquiries, and provide comprehensive support. Additionally, coordinate the logistics involved in all shipments.

Arrange transportation and meticulously organise deliveries to meet customer demands, ensuring timely and efficient order fulfilment.

Facilitate the movement of stock from our strategically located warehouses in the UK, France, and the US.

Generate purchase orders (POs), sales orders (SOs), and stock transfer requests (STRs), while meticulously tracking all stock movements.

Liaise with various warehouses to manage dispatch notes, coordinate deliveries, and monitor stock levels effectively.

Prepare daily reports on critical metrics such as livestock levels, open orders, etc., using SAP, and ensure timely communication of this information to the wider team.

Handle the preparation and dispatch of invoices, credit notes, and related paperwork to customers, ensuring accuracy and prompt delivery.

Manage the logistics of both inbound and outbound shipments, continuously reviewing freight costs and transportation rates to optimize cost-efficiency.

Undertake various operations-related tasks and offer support to the internal team as required, fostering a cohesive work environment.

Ensure meticulous data entry into SAP and maintain comprehensive records on SharePoint.

Address and resolve any shipment or inventory issues promptly and effectively.

Provide an exceptional level of communication and customer service to all accounts, ensuring customer satisfaction and retention.

REQUIREMENTS

Strong verbal and written communication skills.

A hands-on, proactive attitude.

A self-starter, capable of working independently and taking initiative.

A team player with prior experience in customer service, ideally within the context of logistics and operations.

Basic knowledge of accounting concepts is advantageous.

Proficiency in SAP, particularly in SOP, Purchasing, and Stock Management, is highly desirable.

Competence in Microsoft Word, Excel, and PowerPoint is expected.

Job Type: Fixed term contract
Contract length: 6 months

Pay: Up to 26,000.00 per year
