The Operations & Data Entry Assistant provides administrative and data entry support to the operations team, with a primary focus on pricing coach bookings for new clients and maintaining accurate booking and operational records. This role requires strong attention to detail, numerical accuracy, and the ability to manage multiple booking requests efficiently.
Key Responsibilities
Accurately enter new client booking details into the company's booking and operations systems
Calculate and prepare pricing for new client coach hire requests in line with company pricing structures
Issue quotes and booking confirmations to clients in a timely and professional manner
Maintain and update booking records, schedules, and client information
Check data accuracy across pricing, mileage, timings, vehicle type, and driver requirements
Liaise with the operations team to confirm vehicle and driver availability before pricing bookings
Update amendments, cancellations, and re-quotes promptly and accurately
Support invoicing preparation by ensuring booking and pricing data is correct
Respond to client enquiries related to bookings, quotes, and basic operational details
Carry out general administrative and data entry tasks to support the operations department
Skills and Competencies
High level of accuracy and attention to detail
Strong numerical and data entry skills
Ability to work efficiently with booking, pricing, and scheduling systems
Good written and verbal communication skills
Strong organizational and time-management abilities
Ability to handle multiple booking requests and meet deadlines
Confident using Microsoft Excel, Word, and internal systems
Qualifications and Experience
Previous experience in data entry, administration, or booking coordination (preferred)
Experience within transport, travel, or logistics is an advantage
Comfortable working with pricing, quotes, and basic calculations
GCSEs or equivalent, including Maths and English
Working Conditions
Office-based role within a fast-paced operations environment
May require flexibility during peak booking periods
Working hours are from 7am to 3pm
or
11am to 7pm

Pay: 24,420.00-28,024.86 per year
