We have a fantastic opportunity to join our dental supply organisation as a valued member of a small, dynamic sales and operations office team. We are seeking a highly organised and proactive Operations Assistant, with a strong focus on engineer diary management and operational coordination, for a full-time, permanent position based in Cardiff city centre.
This role is ideally suited to someone who thrives in a fast-paced environment, enjoys managing multiple priorities simultaneously, and takes ownership of scheduling, coordination and follow-through. A key responsibility will be the organisation, planning and ongoing management of our electronic engineer diary, ensuring our field engineer's time is used efficiently and customers receive a high level of service.
You will also support day-to-day sales and operational administration, including stock handling and order processing. Training will be provided for specific systems and internal processes where required. You will play a crucial role in keeping operations running smoothly and professionally across the business.
The ideal candidate will be confident on the telephone, highly organised, and naturally structured in their approach to managing tasks, bookings and deadlines. Attention to detail, strong communication skills and a positive, solution-focused attitude are essential.

Key Duties and Responsibilities
Manage, plan and coordinate an electronic engineer diary, including booking, scheduling, job progression and invoicing
Act as the central point of coordination between customers, the engineer and internal colleagues
Take ownership of engineering jobs from booking through to completion
Ensure efficient planning of routes, time allocation and job priority
Stock management, including booking in goods and maintaining accurate records
Processing and despatch of daily consumable orders
Handling incoming calls in a professional and timely manner
Supporting general sales and operations administration as required
Skills and Experience
Communication

Experience using CRM systems and finance software such as Xero is desirable

Communication and Liaison
Act as a pivotal point of contact between customers, internal teams, external engineers and management
Maintain accurate records across CRM and internal systems
Deliver excellent customer service on every interaction, with clear follow-up and ownership
