Role Overview
We are seeking a proactive and highly organised
Operations Assistant / Coordinator
to support the day-to-day office and operational functions of the business. This role is central to ensuring our engineers are effectively scheduled and supported across servicing, reactive maintenance, and installation works.
The successful candidate will be office-based in Norwich (or be willing to commute), must be able to drive, and will work closely with engineers, management, and clients to ensure smooth operational delivery.
Key Responsibilities
Coordinate and schedule engineers for:
Planned service and maintenance
Reactive and emergency call-outs
Installation projects
Act as a key point of contact between engineers, clients, and internal teams
Monitor job progress and adjust schedules as required
Maintain accurate records of jobs, schedules, and engineer availability
Assist with general office administration and operational support
Handle incoming calls and emails professionally and efficiently
Support compliance, documentation, and reporting as required
Occasionally travel to sites or provide support to engineers when needed
Participate in occasional on-call across weekends and evenings (you do not have to be at home for this, a long as you have your mobile to hand and can access our works app and answer a phone call where you are.)
Skills & Experience
Previous experience in operations, scheduling, coordination, or administrative role (engineering or service-based environment preferred)
Strong organisational and time management skills
Ability to prioritise workload in a fast-paced environment
Confident communicator, both written and verbal
Good IT skills, including Microsoft Office (experience with scheduling systems is an advantage)
Able to work independently while also working closely as part of a team
Post Code knowledge of East Anglia
Essential Requirements
Full UK driving licence
Ability to work office-based in Norwich
Reliable, professional, and detail-oriented approach
Desirable
Experience working with field-based engineers or technical teams
Knowledge of servicing, maintenance, or installation scheduling
Familiarity with compliance or service reporting systems
