Targe Towing Limited is a subsidiary of the Forth Ports Group and is responsible for providing marine services for the INEOS Forties Pipeline System (FPS) at Hound Point Marine Terminal.
About The Role
In this role as Operations Assistant, you will provide essential operational and administrative support to the wider Operations team, playing an integral part in the effective day-to-day running of the business. Working closely with the Operations Manager, you will coordinate tug bookings and towage plans, arrange travel for towage crews, and act as a primary point of contact for customer and crew enquiries. The role also encompasses responsibility for company vehicle administration, purchase requisitioning, payroll-related processing, and the preparation of operational and statistical reports.
Key responsibilities:
Provide full and efficient administrative support to the Targe Towing Operations team.
Coordinate the booking, allocation and communication of towage crews to assigned jobs, using phone, email and messaging platforms.
Liaise regularly with Masters to communicate any changes or revisions to towage plans.
Arrange and manage travel bookings for towage crews as required.
Support the recruitment process for towage crews, including administrative coordination.
Reconcile company credit card expenditure, checking invoices and processing payments.
Record and maintain accurate payroll data, including sickness absence, annual leave and overtime, ensuring timesheets are authorised and validated.
Raise and process manual invoices, working closely with Finance, Commercial and Revenue teams to ensure accurate billing and agreed rates are applied.
Prepare and distribute operational, financial and management reports and documentation for customers, agents and internal stakeholders.
Manage general operational administration, including PPE ordering, arranging medicals, processing requisitions and quotations, maintaining records, and providing occasional out-of-hours operational support.

We are looking for a proactive and well-organised individual who thrives in a fast-paced operational environment and takes pride in providing reliable support to others. You will be approachable, adaptable and confident communicating with a wide range of people, including towage crews, Masters, customers and internal teams. Strong attention to detail, sound judgement and the ability to manage changing priorities calmly and effectively are key to success in this role. This is a full-time, office-based position, requiring flexibility in your approach to work, including the ability to travel between company sites and provide occasional out-of-hours support when required.
Skills & Qualifications:
Experienced and capable administrator with relevant work experience in a marine or logistics environment is preferred.
Excellent IT skills including good working knowledge of Microsoft Office packages, particularly excel.
Must be able to build and maintain good working relationships with Towage crews.
Strong numeracy background/competency.
