From coordinating meetings, systems and communications, to overseeing patient registrations, digital access, staff support, compliance activity and clinic organisation, the post-holder helps connect every part of the practice.

Main duties of the job:
The post-holder will project a positive and friendly image to patients and other visitors and deal with queries in a professional, courteous and efficient way across both Weobley & Staunton on Wye Surgeries.
You will be required to offer an excellent standard of support to the Practice Manager and Assistant Practice Manager, ensuring good quality service delivery and confidentiality. To thrive in this role you will enjoy a challenge that requires you to use your exceptional organisational and prioritising skills, combined with top level attention to detail. Problem solving on a day to day basis on issues relating to your work, you will also enjoy working closely as a member of a team to achieve shared objectives and ensure daily priorities are delivered.
Job Responsibilities
:
Support the Practice Manager and Assistant Practice Manager to arrange regular and ad-hoc meetings as required, ensuring that all delegates are notified in ample time, co-ordinating and adjusting appointments where clinicians are attending, distributing agendas, taking minutes, preparing meeting rooms and organising food as required and ensuring follow-up action is undertaken.
Attend meetings if required to take minutes (this will sometimes be outside of the usual working hours), type up minutes and distribute in a timely and effective manner.
Assist with planning, development and implementation of systems and procedures to ensure adequate provision of services to patients, including patient advice and information.
Assist with planning, development and implementation of changes necessary to meet new demands on the Practice from internal and external sources.
Organise Practice Protected Time meetings including arranging venues and catering.
To provide secretarial support in processing urgent 2WW in the absence of the medical secretaries due to illness.
To deputise in the absence of the Practice Manager/Assistant Practice Manager.
Oversee all registrations and deductions of patients including processing GP2GP transfers and any degraded entries.
Set up of patient online account details, NHS app queries and proxy access requests.
To oversee all patient requests in AccuRx.
Assist in the administration, induction and training of new staff members within the organisation.
To oversee batch messaging and invites and set up clinics on Accubook.
To assist in the collating and maintain staff sickness records on GP Teamnet.
Arranging annual PAT and fridge testing.
Arranging Annual calibration of equipment.
Arranging Annual door servicing.
Maintain and distribute Practice communications.
Produce and circulate regular Practice Newsletters.
Take a lead role in administrating the Practices GP Teamnet system and in the uploading of teamnet checks.
Take a lead role in updating the Practice website and Facebook pages in a timely manner.
Co-ordinate staff appraisals with team managers.
Ad hock scanning from the Practice Manager/Assistant Practice Manager.
Co-ordinate the annual flu and Covid clinics and support in the creation of clinical searches.
Assist with the production and upkeep of Practice policies and procedures under the direction of the Practice Manager.
To do the weekly banking of monies for the surgery.
Organising the NICE guidelines between the Doctors and uploading to Teamnet.
