We are seeking a motivated and detail-oriented

Operations Assistant

to join our busy team and support day-to-day operations.

Role Overview

As an

Operations Assistant

, you'll play a key role in keeping our projects, service calls, and logistics running smoothly. You'll work closely with the Operations Manager and engineering teams to coordinate scheduling, procurement, and client communication.

Key Responsibilities

Full time role based on a 40 hr working week

Assist in planning and coordinating catering equipment installation and maintenance projects. Schedule engineers for site visits, service calls, and maintenance jobs. Prepare and manage job sheets, quotations, and purchase orders. Liaise with suppliers and track orders, deliveries, and stock levels. Maintain accurate project and client records. Support invoicing, timesheet collection, and cost tracking. Handle correspondence and general office administration. Provide excellent customer service and follow up on client inquiries. Join the office 'on call' rota helping the engineering team with phone cover.

Requirements

1-3 years of experience in an administrative or operations support role -- ideally in engineering, catering equipment, or service industry. Strong organizational and communication skills. Good knowledge of Microsoft Office (especially Excel and Outlook). Ability to manage multiple tasks and meet deadlines. Proactive, reliable, and able to work independently or as part of a team.
