We are looking for an Inspection Operations Assistant who will help us achieve our goals and support our busy inspection management team.

Responsibilities
:
While some assistance may be needed during the planning phase of jobs, the assistant's primary focus will be on:
Liaising with site personnel to track work progress and actively monitor any changes (e.g. to the scope or schedule of the work) as they occur and ensuring these are communicated appropriately (e.g. triggering revisions to job card(s) / proposal(s)).
Ensuring that, on completion of inspection work, it has been completed as planned and that relevant documentation is scanned and filed appropriately e.g. field notes and completed point of work risk assessment(s).
Tracking the completion of any follow-up tasks e.g. inspection of repairs.
Ensuring that deliverables are fulfilled in a timely manner - e.g. inspection reports and WSEs produced.
Updating the status of job cards promptly.
This role is critical to help us ensure that we deliver on our commitments to our clients and helps to streamline the preparation process for invoicing
Providing administrative support to the team, including managing schedules and correspondence
Managing phone calls with professional phone etiquette and directing enquiries appropriately
Organising files, documents, and records to ensure easy retrieval and compliance with company policies
Experience
:
Previous office experience is preferred but not essential
Proficiency in computer skills including Microsoft Office
Demonstrable organisational skills with the ability to prioritise tasks effectively. Ability to track multiple workstreams and follow up on outstanding actions. Strong time management and prioritisation skills. Attention to detail e.g. when closing out job cards.
Experience in data entry and administrative roles will be advantageous
Excellent phone etiquette and communication skills are essential for interacting professionally with clients and colleagues
Communication skills - Confident in making telephone calls. Ability to communicate clearly with site staff to establish the status of ongoing work, as well as engaging regional managers to follow up and progress outstanding deliverables (reports etc.) for their teams. Strong written communication for accurate documentation and email correspondence.
Technical / System Competence - Proficient in using administrative software (e.g. Microsoft Excel, Word). Familiar with Notes software or comfortable learning how to use it.
Initiative and Accountability - Able to work independently with minimal supervision and take ownership of following up with team members with persistence and professionalism.
