Overview


We are seeking a detail-oriented and proactive Operations Coordinator to join our team. This extremely varied role is essential in ensuring the smooth operation of our daily activities, supporting various departments, and enhancing overall efficiency. The ideal candidate will possess strong organisational skills and a solid understanding of administrative processes, contributing to the success of our operations.

Responsibilities



Office-Based Responsibilities:

Coordinate daily maintenance schedules Act as the central point of contact between clients, subcontractors, and site teams. Maintain and update job management software and work order systems. Monitor job progress and ensure timely completion of scheduled maintenance. Track and manage inventory, materials orders, and delivery schedules. Preparing quotes following a site visit. Occasionally, type up the invoice and forward to the client when the job is complete. Support compliance with health & safety and industry regulations (e.g., RAMS, permits). Manage administrative tasks including filing, data entry, and supplier communication.

Site-Based Responsibilities:



Conduct site visits to monitor work progress and quality of service delivery. Liaise with site supervisors and operatives to ensure adherence to schedules. Assist with onboarding new site staff and ensuring correct PPE and documentation. Ensure all staff follow health & safety protocols and company procedures on-site. Collect site reports, timesheets, and any variations to planned works. Support in resolving on-site issues quickly and efficiently with minimal disruption. Coordinate subcontractor access and site logistics as needed.

Operations Coordinator - Key SkillsTechnical & Operational Skills



Understanding of building maintenance operations and terminology (preferred but not essential) Ability to read and interpret job scopes, schedules, and basic site drawings (preferred but not essential) Proficient in Microsoft Office Suite (especially Excel, Word, Outlook) Basic knowledge of health & safety regulations and risk assessments (RAMS)

Organisational & Planning Skills



Excellent time management and ability to prioritize multiple tasks Strong organisational skills to coordinate multiple sites, teams, and work orders Attention to detail when managing job logs, documentation, and compliance data

Communication & Interpersonal Skills



Clear and professional communication with clients, operatives, and subcontractors Strong interpersonal skills to liaise effectively between office and site staff Problem-solving mindset with the ability to stay calm under pressure

Adaptability & Initiative



Flexibility to work in both office and site environments Proactive approach to resolving issues and improving processes Ability to work independently as well as part of a team

Other Desirable Skills



Full UK driving licence (for site travel) Possible Company Vehicle to use in certain circumstances Experience in a facilities or property maintenance environment (preferred but not essential) Knowledge of procurement processes and supplier coordination (preferred but not essential)

Hours of Work



08:00-16:30 Monday to Friday
