About the Role
We're a property group offering shared housing for students and professionals across Oxford. We're now hiring a reliable, organised, and hands-on part-time operations assistant to support our portfolio in and around Oxford.
You'll be the one making sure our houses are clean, ready, accessible, and professionally presented. You'll manage keys, liaise with cleaners and tradespeople, and support our viewing agents - while also assisting with admin work from home on quieter days.
This is a hybrid role - some days you'll be out visiting properties, and other days you'll work remotely, updating CRM records, chasing tenancy-related issues, or helping with local council or property-related paperwork.
You'll also play a key role in

ridging the gap between the company and our viewing agents (who are contractors). You'll coordinate their shifts, help manage their rota, assist when needed during on-ground visits, and ensure smooth communication. You'll also occasionally handle tasks like invoice tracking and shift confirmations for agents, cleaners, and trades.
We're flexible with timing and looking for someone who can grow with us. If you can commit to 3 days a week and work 6-7 hours per day, we'll give you clarity, ownership, and a key role in our Oxford operations.
Your Weekly Responsibilities
Inspect and prep houses for move-ins, move-outs, or viewings
Coordinate cleaning schedules and check quality after completion
Handle keys: collection, duplication, lockbox setup, secure handover to agents/tenants
Meet tradespeople on-site and manage minor repair visits (e.g. boilers, leaks, handyman work)
Support viewings agents: check property readiness, handle no-shows or last-minute issues
Coordinate viewing agent and contractor shifts (rota tracking and reminders)
Capture photos/videos of properties when needed
Update and manage weekly reports for the central team
Assist with onboarding new houses (condition checks, inventories, walk-throughs)
Support with admin tasks such as CRM updates, council contact, tenant follow-ups, and chasing or arranging contractor invoices when needed
Who This Role Is Perfect For
Someone who lives in or around Oxford and is confident navigating the area
Someone with past experience in property, lettings, housing, or field coordination (preferred but not required)
A dependable organiser who enjoys taking ownership and getting things done without being micromanaged
Someone comfortable using WhatsApp, email, and simple apps or online systems
Ideally, you hold a driver's license and have access to a vehicle - or you're otherwise very mobile locally
