SUBU is looking for an Operations Lead to provide first class, proactive, support to the Students Union Human Resources, Health & Safety and Compliance functions as well as provide an efficient and effective, day to day operational service to students and colleagues while supporting the Director of Operations and Governance.

Administration Duties:

email & diary management, overseeing various mailbox functions including scheduling of Trustee related meetings.

Communication Duties:

between SUBU staff, University staff, Trustees, external suppliers, and other external contacts.

Organisational Duties:

Leading on the review of all related policies and prompting stakeholders for input into various matters.

Data Duties:

maintain and manage various records and information platforms, including health and safety, risk systems and documentation, Charlie HR, Crew Site, SISO and working within BU's WorkRite system.

HR Duties:

coordinate and maintain all HR tools, trackers, templates and procedures. Keep up to date sickness and records within the HR platform and provide information during the monthly payroll process where relevant. Organise and oversee the induction and leaver process for all staff including running companywide orientation for new starters with the objective of a full understanding of SUBU's departments and processes. Handling relevant paperwork for all new starters and leavers including Right to Work, DBS and reference checks.

Staff Experience

: Plan, implement and evolve services to support staff development and employee experience such as training and workshops.

Governance Duties

: Support the Director of Operations & Governance as well as the CEO, with information in preparation for Trustee Board and Committee paper submissions. Working to a deadline and providing clear and accurate statistics in relation to HR, Risk, and Health & Safety. Supporting Trustee administration with new starters as well as annual updates in line with regulatory deadlines. Utilising reception staff in managing Trustee pack completion and circulation as well as linked Board duties such as compiling minutes and actions.

Full Time Officers:

support the Full-Time Officer team with related aspects of their onboarding and schedules including assisting with training or workshop bookings as well as providing related assistance throughout the year as and when needed.

Other Operational Duties

: Chair the organisational Sustainability Working Group with the objective of focusing teams on how SUBU can improve its work around environmentally friendly practices. Work with the BU Estates and IT teams to ensure SUBU staff are provided with the day-to-day support and services they need to complete their tasks.

Managerial Duties:

responsible for the function of SUBU reception, managing the SUBU Receptionist Team to deliver a front facing customer service, assisting with workload planning, priorities, and other general line management responsibilities.

Key Union Events Duties:

when needed, to assist with the organisation and administration of Union events such as Awards, Arrivals and Elections.

General for all staff



Key Union Events Duties: proactively to assist with the organisation and administration of Union events such as Fresher's Fayre and the Summer Ball. Staff must always adopt and endorse the company's strategy and values as well as all supporting policies, across all aspects of the role. Time management skills Minimum of 3 years experience of administration/operational duties Ability to process large amounts of information Experience of supervising/managing a team Knowledge and understanding of relevant Health and Safety legislation Knowledge and experience of Right to work compliance Accuracy and thoroughness and a high attention to detail Flexible and able to take on several tasks at once. Strong organisational ability Can work calmly under pressure Can cope with conflicting demands Good communication and listening skills, Good writing and editing skills Competent with Microsoft Excel and Adobe PDF software. Pay: 25,500.00-27,000.00 per year
