Operations Manager

Our client The UK\'s Leading Private Baby Scan Clinics, who are proud to offer families an outstanding level of care throughout their pregnancy journey. Their clinics offer a range of private ultrasound scans from 6 - 42 weeks gestation, and are conducted by fully qualified, medical Sonographers. Their goal is to ensure each client feels safe during their baby scan experience.

Hours: 9am to 5pm Monday to Friday

Salary: Up to \xc2\xa336,000

Location: Caterham

Main purpose of job:

To support the Company Director by:

  • Contributing to the local strategies to maximise business potential including profitability.
  • Providing administrative and project support to the business.
  • Assisting with delivering scans by covering shifts in both a Scan Assistant or Team Lead role.
  • Becoming CQC deputy registered manager for one or both clinics as required.
  • Managing employees or contractors as required (the requirement for this may change from time to time).
Key tasks and responsibilities:

Recruitment:
  • Assist with recruitment activities as required.
Training:
  • Develop and run training sessions as needed.
  • Assist with the development and content for quarterly meetings and deliver as required.
  • Develop and rollout Mandatory Training (whether at meetings or outside of these) as required.
General:
  • Become the CQC deputy manager - extra level of training to be planned to achieve this.
  • Manage compliance for Worthing (staff and clinic) and be overall lead for this across both clinics (check periodically that checks are up to date and to the right standard for Eastbourne too).
  • Process and Intranet maintenance and management.
  • Work some shifts as an SA or TL when needed and subject to your availability (either clinic), to ensure own knowledge is maintained, increased and to support the teams if required.
  • Manage collation, calculation and communication to staff of their hours worked and for commission each month regarding both clinics in a highly accurate and timely manner.
  • Populate the shift planner for Worthing at least 6 months in advance on a rolling basis and ensure the booking system reflects the resource to cover and the need to deliver revenue. Advise of any shortfalls.
  • Manage shift planning and diary management (opening, closing and optimization) for Worthing.
  • Take and make customer calls if requested.
  • Sickness and holiday admin only, for Worthing
  • Property related matters - attending the clinic to enable inspection or remedial work subject to your availability.
  • Be involved in audits CQC where possible.
  • Be involved in developing and implementing new initiatives as a result of your project work e.g. Gynae roll-out.
  • Ensure timely completion of quarterly Care & Service Assessments for Worthing Sonographers.
  • Organise technical reviews for Sonographers.
  • Collaborate with the social media lead(s) for Eastbourne & Worthing to develop ideas and content for posts. Fully understand social media in relation to how we and others utilise it and assist the social media lead with this using the Worthing team to help develop content.
  • Assist with staff operational queries posted by either clinic (if available to respond and your knowledge of the topic is sufficient).
  • To ensure that any procedures written or amended adhere to the relevant QCQ pillars, namely: safe, effective, caring and responsive in relation to customers and colleagues alike. There should also be due consideration to any commercial aspects impacted by these procedures.
  • Stock management and replenishment -ensure that sufficient stock is held in stock and in the clinics at all times and that products are managed to ensure there is no waste due to expiring products.
  • Clinical waste - collect from Eastbourne every 2 weeks and deposit in the clinical waste bin in Worthing.
