Key Responsibilities



1. Operations & Systems



Manage and continually improve clinic operations -- scheduling, onboarding, communication, documentation. Maintain and develop Standard Operating Procedures (SOPs) for all routine processes. Manage digital infrastructure (Google Drive, automation tools, shared trackers). Implement and maintain automation for admin, reminders, invoicing, and forms. Identify inefficiencies and recommend solutions before problems arise.

2. Client & Practitioner Coordination



Oversee the client journey from onboarding to completion, ensuring smooth communication and follow-up. Liaise between clients and the clinical team to coordinate schedules, reports, and test logistics. Ensure practitioners have what they need for sessions -- data, forms, or summaries. Track client progress and flag any delays or issues promptly.

3. Team Communication



Run the weekly internal meeting rhythm (agendas, notes, actions). Maintain visibility of priorities and responsibilities across the team. Keep communication loops tight and kind -- clarity without micromanagement.

4. Finance & Reporting



Oversee invoicing and ensure timely payments and renewals. Liaise with the bookkeeper/accountant and provide simple summaries each month. Track income streams and operational costs to support decision-making.

5. Educational & Event Support



Support mentoring programmes and community sessions. Coordinate participant communications, schedules, and follow-ups. Keep educational assets organised (slides, recordings, templates).

Outcomes & Success Indicators



Systems run predictably and without MDs constant input. Clients and practitioners experience calm, clarity, and responsiveness. Operational bottlenecks are identified and solved early. MDs time is focused 70%+ on a balance of creative and clinical work. Team morale and communication are consistently positive.

This Role Is Not



A clinical or health coaching role -- you'll manage operations, not deliver therapy. An executive assistant role -- you'll lead systems, not just respond to tasks. A "busy work" position -- the aim is to make things simpler, not add layers of process.

What You'll Bring



3+ years experience in operations, coordination, or systems management (ideally in healthcare, wellness, or education). Excellent digital literacy (Google Workspace, CRMs, scheduling tools). A calm, grounded presence and clear communication style. Curiosity about integrative and systems medicine (an advantage, not a requirement).

Working Rhythm



Hours:

20-40 per week, flexible

Meetings:

1-2 team calls per week

Mode:

in-person with some scope for home-working once initial training is complete

Start:

As soon as the right person is found
For >20-30 hours a week there is scope to extend the Operations role across other businesses in the group to make it a full time Operations role.
