Main Purpose of Job:
The Operations Manager plays a vital role in the effective delivery of day-to-day commercial and marketing operations within the Admissions, Marketing, and Enterprises Department. This position is responsible for operational delivery of a wide range of internal and external events and commercial activities across the school, including sports facility hires, concerts and performances, summer schools and camps, conferences, residential lettings, and other special events.
In addition, the Operations Manager oversees the safety and regulatory compliance of Cedars Hall with the help of the Facilities Team. This includes ensuring the facility remains safe, fully functional, and visually appealing, as well as recommending and coordinating with the Facilities Team where necessary improvements are needed to maintain high standards.
Key Responsibilities:
Support the Head of Marketing and Enterprises and the Enterprises Manager to ensure all commercial and marketing activities run smoothly. This includes managing and maintaining all operational systems such as Bookteq, Appointed, Tixly etc;
Managing all sports hire enquiries from the initial enquiry through to onboarding. Also act as an ongoing point of contact for the hirer;
Supporting the Enterprises Manager in securing new business;
Supporting the marketing team and providing operational support;
Administrative management of tools such as Bookteq and Tixley. This will include managing the setup and content of events and sports booking spaces and pricing, and working with finance to reconcile any invoices and payments;
Manage the ushers and event staffing schedule;
Lead on the Box office and handling any enquiries or complaints;
Regular attendance at concerts and meetings at the music department;
Carry out detailed operational planning for commercial events and marketing events such as open days and fireworks, camps and residential lets; Liaising with departments to ensure plans are robust and deliverable;
Management and oversight of event ticket arrangements, where applicable;
Management of all risk assessments for all aspects of the department and making sure where required that risk assessments have been completed by hirers;
Working closely with the estates teams to make sure regular system reviews are carried out on Cedars Hall systems. Maintaining a safe environment with proper lighting, signage, and disability access;
Liaising with the Facilities Team when repairs are required through the Every system. Highlight building improvements and modifications;
Inspecting the building frequently for signs of damage or wear;
Coordinating the setting up of all events taking place in the building within the remit;
Monitoring and ensuring the building is maintained in a clean and tidy condition.
