Role Purpose





The Operations Scheduler is a pivotal role within the Castelan Commercial Services Operations team (CCS), responsible for the strategic planning and execution of employee work diaries. This role ensures all repair and refurbishment jobs are completed not only within their specified Service Level Agreements but also with maximum efficiency, minimising downtime and optimising resource allocation. The Operations Scheduler will be a primary point of contact for both our valued employees and our commercial clients, fostering strong relationships and ensuring seamless communication regarding scheduled works.

Primary Responsibilities





Operational Data:

To monitor and control the operation email account and cascade the relevant workloads out for each area and Operational manager. To also update our client's online portals/CRM's so that we are maintaining the agreed SLA's and Core KPI's.

Workforce Scheduling & Optimisation:

Develop and manage the work diaries for all operations employees, optimising routes and schedules to ensure efficient completion of jobs. Proactively identify and address potential scheduling conflicts, resourcing gaps, and inefficiencies to minimise downtime and maximise productivity. Monitor job progress against schedules and adjust plans as needed to respond to unforeseen circumstances, such as urgent requests or unexpected delays.

Resource & SLA Management:

Ensure all scheduled jobs are completed within agreed-upon service level agreements (SLAs), escalating potential breaches to management as necessary. Track and report on key performance indicators (KPIs) related to scheduling efficiency, job completion rates, and adherence to SLAs.

Communication:

Serve as the primary point of contact for all operations employees regarding their schedules, providing clear and timely communication. Act as a key liaison for clients, providing updates on job scheduling, progress, and addressing any queries or concerns related to planned works. Collaborate closely with the Operations Management team and other team members to ensure alignment on operational goals and priorities.

Problem-Solving:

Identify potential scheduling conflicts and devise effective solutions to maintain workflow efficiency. Focus on cost-effective scheduling practices, including optimising travel routes, minimising overtime where possible, and efficient allocation of resources. Identify opportunities to improve operational efficiency through better scheduling practices and resource utilisation.

Reporting & Compliance:

Prepare and distribute scheduling reports to management, highlighting key performance indicators and areas for improvement. Ensure all scheduling practices comply with relevant regulations, company policies, and industry standards.



Experience and Technical Skills Required




Excellent communication skills Ability to work under pressure and work quickly & accurately. Ability to quickly analyse a situation and deliver recommendations on change if needed. Ability to develop and maintain effective internal and external business relationships. Understanding of established systems and processes Must have the ability to work accurately and be able to approach and resolve problems logically avoiding the need to escalate unnecessarily. An analytical mind and ability to use MI data Proficiency in scheduling software and tools (e.g. Word, Excel, CRM systems) Able to compile management information. Ability to think quickly and prioritise workload when under pressure.
