Metanoia Institute is a well-established educational charity specialising in the professional training of counsellors, psychotherapists, counselling psychologists, supervisors, coaches, and organisational development consultants. Since our founding in the early 1980s, we've been a pioneer in offering humanistically-oriented professional training programmes in the UK.

This is a dynamic and transformative period for the Institute. We are developing a new organisational strategy, working towards degree awarding powers, and aligning all we do with a refreshed set of values.

ROLE PURPOSE:



This role provides high-quality, flexible operational support to the Head of Operations across a wide range of core functions that ensure the smooth and effective running of Metanoia Institute. The postholder will work closely with the Head of Operations to deliver practical, logistical, and systems support in a dynamic environment, with responsibilities spanning estates, IT, facilities, health and safety, inventory, and events.

This is a hands-on, varied post ideal for someone who thrives on problem-solving, taking initiative, and contributing to a wide array of operational tasks that keep a busy academic environment functioning efficiently.

ROLE and RESPONSIBILITIES:



Provide day-to-day support to the Head of Operations in delivering projects, services, and logistics across the organisation. Act as a first point of contact for operational queries and escalate or resolve as appropriate. Support the planning and execution of events, including room bookings, catering, AV/IT set-up, contractor liaison. Contribute to the effective running of graduation ceremonies, open days, and other institutional events. Assist with managing opening and closing of premises, including coordinating with security and site services when required. Out of hours response for emergencies on a rostered basis Help monitor and maintain the condition of buildings, rooms, and common areas; report and track maintenance issues. Maintain records related to estate works, suppliers, and contractor visits. Support the implementation of planned maintenance schedules throughout the year. Maintain inventories of IT equipment, teaching resources, and office supplies; coordinate procurement and replacements. Provide first-line support for laptops and classroom equipment, escalating to IT providers where necessary. Ensure teaching and therapy rooms are appropriately equipped and functional. Support the management of reception staff and ensure front-of-house services are professional and welcoming. Assist with health and safety checks, audits, and statutory compliance monitoring (e.g., fire safety, PAT testing, first aid). Maintain records and logs for risk assessments and safety incidents. Support the preparation of reports, inventories, meeting papers, and operational documents as required. Keep accurate records related to suppliers, repairs, IT assets, and procurement.
Any other duties as may be reasonably required by line manager.

Essential Skills and Experience:



Proven experience in a varied operational, facilities, or administrative support role. Strong practical problem-solving skills and an adaptable, solutions-focused mindset. Excellent organisational skills with the ability to manage multiple tasks simultaneously. Strong interpersonal and communication skills, with a customer-focused approach. IT literate, including confidence in Microsoft Office and basic IT troubleshooting. Willingness to work flexibly, including early mornings or out-of-hours support when needed. Able to work independently while being part of a collaborative team.
Desirable

Experience in an education, charity, or clinical environment. Awareness of health and safety requirements in a facilities or estates context. Knowledge of AV/IT equipment and classroom set-up. Local to the site or able to attend quickly if required in case of building/security issues. (preferably no more than 30 minutes commute) The role is based on-site and requires a flexible, hands-on approach. The postholder will work closely with the Head of Operations and contribute to the overall effectiveness of the senior operations function at the Institute.
