Gardening Naturally is a family-run e-commerce business specialising in natural and organic gardening products. We are seeking a highly organised and systems-focused

Operations & Systems Coordinator

to work closely with the Managing Director across all areas of the business.

This is a varied, hands-on role that will split time between the office and the warehouse--particularly during our peak season (March-August). You will act as a key bridge between departments, ensuring smooth operations, accurate data management, and effective communication across the business.

Key Responsibilities



Operational Support



Assist warehouse operations during peak season, supporting workflow, stock organisation, and process improvements. Act as a bridge between the office and warehouse teams, ensuring communication, priorities, and procedures are aligned. Support courier and logistics management, helping resolve issues and improve delivery performance.

Systems & Data Management



Become an in-house expert for

OrderWise

, learning the system in-depth and supporting colleagues across all functions. Maintain and optimise internal systems, including identifying areas for improvement and supporting new development or integrations. Manage large datasets, performing advanced Excel tasks such as VLOOKUPs, pivot tables, data cleaning, and reporting. Assist with product pricing across all sales channels including Shopify, Amazon, and eBay.

General Business Support



Assist with recruitment processes, including preparing job ads, screening applications, and coordinating interviews. Support the Managing Director with various operational and administrative tasks as needed. Contribute to health & safety activities, including documentation, audits, and ensuring compliance. Help drive continuous improvement across operational processes, systems, and communication workflows.

Skills & Experience Required



Strong systems capability with the ability to learn ERP or business software quickly (OrderWise experience a bonus). High proficiency in Excel, with experience handling and manipulating large datasets. Excellent organisational skills and ability to manage multiple priorities at once. Strong communication skills, comfortable working across both office and warehouse environments. Experience in an e-commerce and operations is advantageous but not essential. Problem-solving mindset with strong attention to detail. Ability to work independently and take initiative.
