Job Description

(Part-Time | Potential to Move Full-Time | Hybrid / Essex-Based)

We're looking for someone who genuinely enjoys building order out of complexity. Someone who takes pride in tightening processes, improving systems, and ensuring the team is supported with clear workflows, consistent operations, and predictable delivery.

You'll be joining a growing mortgage brokerage and coaching/consulting business. We already have strong client results, strong demand, and strong brand presence, now we need a calm, reliable operator who can help us scale without chaos.

What You'll Own

Building, maintaining, and improving core business systems Creating, updating, and enforcing SOPs, workflows, and delivery processes Implementing structure across both the Mortgage Brokerage and Systemise & Scale Coaching business Working closely with our external FCA compliance partner to ensure smooth coordination Overseeing the use of Acre (mortgage compliance software) to ensure data accuracy, process consistency, and advisor accountability Managing and improving processes inside ActiveCRM (our GoHighLevel-based CRM) Supporting automation builds with our AI/Automations Lead and spotting areas where AI can reduce workload or error Creating dashboards and reporting tools to track performance, delivery quality, and operational efficiency Helping smooth out handoffs between sales ? delivery ? completion Monitoring task management, deadlines, follow-ups, and project progress across the business Ensuring quarterly priorities are delivered on time, with the business operating predictably
What You Bring

Strong experience in operations, systems, or project/process management Comfort with CRM systems (bonus if you've used GoHighLevel or ActiveCRM) Confidence using data to diagnose bottlenecks and improve performance Good working knowledge of Acre or other financial services systems (or willingness to learn fast) A natural sense of order, consistency, and systemisation Ability to create dashboards and reports that give visibility to the leadership team Awareness of emerging AI tools and how they can be used to streamline processes Calm, steady communication that supports the team while upholding structure An organised, grounded approach to delivery, maintaining momentum without overwhelm
