PA / event co-ordinator Role



As our business grows, we're looking for a friendly, hardworking team member to join us in a dynamic new role, supporting the Director of the business across a variety of different responsibilities. Where each day will be different!

You will be a driving force in ensuring the smooth functioning of our events and hospitality business, supporting the director in a range of day-to-day personal and business activities.

The ideal candidate will have a passion for hospitality and a strong organisational skillset.

Flexibility in working a range of different hours each week, including weekends, and in a variety of different roles, as and when required is essential.

Key Responsibilities:



Working as a PA to the MD. Getting involved in daily general housekeeping and personal errands where required. Working alongside the director to help plan, co-ordinate, manage and deliver memorable weddings and events., ensuring that they run smoothly and meet the expectations of our clients and guests. Provide on-site support during events, being pro-active, with the flexibility to get stuck in on event days, in whatever role needs covering, addressing any issues or concerns that may arise. Collaborate with clients to determine event requirements and objectives. Coordinate all aspects of event planning, including catering, decor, and entertainment. Oversee event setup, including arranging seating, audiovisual equipment, and signage. Coordinate with vendors and suppliers to ensure timely delivery of services and products. Communicate event details to staff members and ensure they are well-prepared for their roles. Conduct post-event evaluations to gather feedback and identify areas for improvement. Efficiently managing the Company's and Director's calendar, schedule appointments, and professionally coordinate meetings. Handle incoming calls, emails, and messages, ensuring timely and effective communication. Provide comprehensive administrative support, including document preparation and invoicing. Manage the company's online presence, generating content for marketing purposes across social media and our website. Ensure regulatory compliance with workplace rules and regulations.

Essential:



Flexible, can-do attitude towards working in a variety of different roles and different hours each week. Proven experience as a Personal Assistant or Executive Assistant within a dynamic environment. Experience with event coordination or management. Excellent communication skills, both written and verbal. Meticulous attention to detail with strong time management skills. Exceptional relationship-building skills. Customer-focused mindset. High sense of confidentiality and integrity. Tech-savvy with a good understanding of digital tools and software relevant to administrative tasks, including Microsoft Office / Google Drive. Experience in using social media for marketing purposes. Strong organizational skills with the ability to manage multiple tasks simultaneously. Ability to work well under pressure and meet tight deadlines. Upselling abilities to maximize revenue opportunities. Full driving licence.

Desirable:



Bachelor's or Master's Degree or specialised certification in Business Administration, Marketing, or related areas; or equivalent experience in practice. Demonstrable experience with financial responsibilities and familiarity with QuickBooks software. Knowledge of hotel or restaurant operations and experience in sales is beneficial but not essential. Cooking skills.

Flexible working arrangements to be considered although the successful applicant must be able to work a minimum of 15 hours per week including some weekends.

Job Type: Part-time

Pay: 13.50-15.00 per hour
