About The Role




Invicta is looking to recruit a professional, confident and highly organised PA/Secretary Administrator in Sheerness


The Role





We are seeking a proactive and professional Administrator to provide efficient and confidential administrative support to the Director and wider team. Acting as the first point of contact for the business, you will play a key role in ensuring smooth day-to-day operations within a fast-paced construction environment.


Key Responsibilities:




Managing incoming & outgoing mail and emails. Telephone calls and dealing with customer enquiries. Diary, accommodation and travel management for the Director. Accurate minute taking and timely distribution for Board and Management Meetings. Internal IS Systems Key Local User. Smooth running of the office environment. Accurate filing and document controls. Credit Card reconciliations/expenses Document printing, scanning, typing Document and meeting room preparation in advance of meetings Typing correspondence / documents Booking and managing meeting rooms First point of contact for all visitors





We're Looking For:




Essential:




Attention to detail with ability to retain knowledge Ability to Prioritise with forward thinking Clear and concise communication (both written and verbal) with excellent telephone manner Sufficient literacy and numeracy competency Strong attention to detail and multitasking abilities Efficient time management Team-oriented with strong people skills Proficient in office software (Microsoft Office, Google Suite, etc.) Ability to learn new systems or software quickly and accurately Familiarity with front desk equipment (phones, booking systems, etc.) High levels of discretion and confidentiality Reliable, adaptable, proactive and able work flexibly

Desirable:




Previous administrative or front-of-house experience in a similar role Previous Construction industry knowledge would be beneficial A relevant qualification (e.g., Business Administration, Customer Service) Knowledge of office protocols and business operations
