Purpose of role:

Provide Professional administrative support to the Principal, HR Advisor & Leadership Professional Support Lead and Senior Leadership team. To provide support to the wider admin team when required.

Key accountabilities (and specific duties / responsibilities):

To provide specific support to the Principal way of assisting with general administration, diary management, booking transport / accommodation, dealing with enquiries, signposting people to the relevant member of staff where this is not the Principal, supporting with preparation & materials for meetings, including governors meetings, typing letters and confidential reports and references, receiving calls and dealing with enquiries, signposting people to the relevant member of staff where this is not the Principal To attend and minute senior leadership meetings To provide Administrative support during the colleague induction period, arranging files and booking meetings To provide confidential administrative support to the Principal and the Academy Leadership Team as required To liaise with external visitors both face to face and over the telephone communicating the values and principles of the academy and Trust. Organisation and the operational running of visits and and events including risk assessments for trips arranged by the Principal and Vice Principals. Ensure administrative processes relating to HR and Academy leadership are compliant with GDPR requirements. To provide administration for payroll/SamPeople and Arbor To assist with student welfare duties, liaising with parents and staff where necessary. To undertake routine clerical and administrative support duties on behalf of the academy Senior Leadership TeamTo support the HR Advisor & Professional Support Lead with the recruitment cycle including publishing vacancies, processing applications, requesting references, assisting with the organisation of interviews and carrying out pre employment checks. To maintain and update all administrative and information systems and processes as required, including retrieving and collating information to ensure delivery of a high level administrative service. To collect and distribute incoming mail, dispatch outgoing mail as appropriate. To assist in the administration of academy registration and attendance procedures in line with statutory requirements. To attend evening events on request. To operate relevant equipment and ICT packages (for example Google Suite, word, excel, databases, email, internet). To retrieve information from the academy MIS and update as required, for example, students' data and to maintain and collate student reports. To maintain records of stationery supplies and stock, cataloguing and distributing and ordering stock and equipment as required. To provide cover for other administrative colleagues when required. Safeguard & promote the welfare of pupils/students through your own actions complying with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection, reporting all concerns to an appropriate person as soon as they arise. To be aware of and support equality, diversity and inclusion To contribute to the overall values and principles of the academy. Participate in the Performance & Professional Development Review process, identifying personal development needs participating in training and learning activities as required.
Additional Information relating to the role:

The postholder is expected to carry out such other duties (commensurate with the post) as may reasonably be assigned by the Principal. The duties of this post may vary from time to time without changing the general character of the post or level of responsibility entailed. The person undertaking this post is expected to work within the policies, ethos and aims of the Academy. The postholder will be expected to have an agreed flexible working pattern to ensure that all relevant functions, including extra-curricular activities, are fulfilled through direct dialogue with employees, contractors and community members.
Qualifications

GCSE in English and Mathematics at C, grade 4 or above
Experience

Proficient ICT skills and use of ICT software packages inc G suite and Microsoft suite Relevant experience in an academy setting (or similar) Experience of dealing and communicating with the public directly and through written/online channels Understanding and experience of safeguarding standards and practices
Skills, Ability, Knowledge

Ability to interact positively and productively with students, parents/carers, visitors and staff Good working knowledge of MIS Able to use initiative, with the ability to work independently to solve problems Able to monitor and evaluate procedures effectively Work under pressure to high levels of accuracy Prioritise and plan to ensure completion of tasks
