We are looking to appoint a highly organised and experienced Personal Assistant for our Group Technical Director and Group Projects Director. The successful candidate will also be required to liaise with various teams for group projects as required.
About the role
The main purpose of the role is to provide administrative support to the Group Technical Director and Group Project Director and to support the Bakels 'Centres of Competence' within the Group Matrix Organisation, plus other administrative tasks as detailed below.
Working hours - 37.5 hours per week (Mon-Fri). Some flexibility possible if required.
Main Duties include:
Assist Group Technical Director and Group Projects Director with all required administrative duties - secretarial, travel, accommodation, visas, holidays, appointments, diaries, etc.
Provide administrative support to the Bakels Group Sustainability and Health & Safety platforms, including but not limited to - scheduling training, providing training material, supporting ASSCO's (local sites) to access and use the shared training platform, monitoring data entries, preparing monthly and yearly reports.
Support the data collection and monitoring of production performance KPI's across the Bakels group, focusing on implementing a structured KPI monitoring and reporting system, capacity planning and GMP for monitoring; and reviewing energy, waste, and water use through the local sustainability teams.
Assist with administrative tasks for various Bakels Group Platforms. Assist Assco's in sending enquiries to and looking after the membership for the Group Helpline.
Create and maintain well-structured office systems, including data management and filing, taking responsibility for accounts and budgets.
Conduct background research and present findings, producing documents, briefing papers, reports, and presentations as required.
Maintain various SharePoint and other platforms used by Group Executive Management to ensure they are maintained in an orderly manner, working with local site ASSCO owners to maintain and keep accurate records.
About you
In addition to excellent administrative and organisational skills, this role will require exceptional communication skills, meticulous attention to detail and a high degree of discretion regarding confidential matters.
Specific requirements include:
- A track record of experience working within an office environment
- Excellent written and verbal communication skills
- Experience of working for an international group of companies with a diverse multicultural environment
- Experience of working within a food manufacturing or similar environment
- Strong emotional intelligence and empathy, with a practical approach
- Ability to manage time, meet deadlines and prioritise effectively
- Experience/knowledge of various secretarial working systems, e.g. SharePoint, Power BI, PowerPoint, Word, and Excel
- Good understanding and knowledge of Bakels sites and products (desirable)
- People management experience (desirable)
You must also have the right to work in the UK and must live within easy commuting distance of Bicester, Oxfordshire. Unfortunately, we are unable to sponsor visa applications for this role.
