The Personal Assistant (PA) will report to the Head of LifeArc Ventures providing administrative support to c.5 members of the Ventures team, ensuring the smooth management of their day-to-day affairs which will include multiple and extensive diary management, organising national and international travel, and meeting and event organisation. The PA will work closely with the Executive Assistant, Ventures both of whom will provide holiday cover for each other and ad hoc extra support where needed. This role will also include ad hoc administrative support to the Senior Director, Finance.


We have a hybrid working environment and this role requires 3 days a week in the London office, with 2 days working from home.

About you:



Key responsibilities will include:



Diary management - scheduling appointments, meetings and events, organising diary entries assessing priorities and rescheduling where necessary Meeting coordination - setting reminders for meetings, appointments, and other relevant activities including preparation of meeting agendas, distribution of materials and where appropriate, taking Minutes Event Planning - arranging conferences, workshops, seminars, and other events for internal and external attendees Travel Arrangements - booking travel and accommodation for business purposes Financial Tasks - manage and process expenses and invoices Project Coordination - assisting with the planning and execution of project administration including the managing of deadlines, recording meeting minutes and supporting colleagues to ensure successful delivery Correspondence - monitor the Ventures central email inbox, and triage to the team accordingly Other projects/duties and ad hoc tasks as assigned by the managers for the overall benefit of the Ventures team In addition to supporting the Ventures team, you will provide ad hoc support to the Senior Director, Finance.

Education & experience required:




Essential: GCSEs in Maths and English


Desirable: It is preferred that the successful candidate will have A-Level education or equivalent.

Skills & abilities:



Expert proficiency with Microsoft Office to support the efficient and effective support required Excellent verbal and written communication skills for effective interaction with various stakeholders, clients, colleagues Exceptional organisational skills and attention to detail with the ability to recognise levels of urgency and adjust/adapt accordingly High degree of professionalism in dealing with diverse groups of people, including senior executives, employees, and industry partners Experience in project coordination, managing deadlines, recording meeting minutes Demonstrate initiative when making decisions regarding priorities and available time, demonstrating a flexible proactive approach Ability to work on own initiative and be a self-starter to assist in own effective time management and meeting of deadlines Ability to manage sensitive information with discretion and maintain confidentiality Proficient problem solving and demonstration of sound judgment to support adaptability to changing priorities and unexpected situations Excellent communicator both written and verbal to aid document preparations, presentations and correspondence Efficient organisation and time management to effectively manage diaries, meetings, events, travel and multi-tasks Strong interpersonal skills to build and maintain effective working relationships Adaptable and flexible to enable working in a fast paced and high energy environment with changing priorities and unexpected situations Ability to problem-solve and use initiative to proactively anticipate needs and find solutions independently

Salary will be determined by qualifications and experience along with other exceptional benefits.
