We are looking to recruit an Administrative Assistant in London to join the dynamic Aviation team. This is an excellent opportunity for a talented person to experience a wide range of both international and domestic aviation work, predominantly contentious in nature, and to have significant responsibility and opportunity to develop with performance.
Main duties and responsibilities
Provide administrative support to the team.
Processing litigated claims, using the appropriate court and internal platforms.
E-mail management; e-filing; sending holding responses and progressing enquiries.
Liaising by phone and e-mail with client contacts and third parties.
Co-ordinating meetings, events and seminars, in close co-operation with fee-earners.
Attending meetings and preparing attendance notes.
Carrying out basic fee earning word and recording time for such activities.
Ensuring compliance with deadlines, client service level agreements, relevant policies and procedures.
Completion of management information.
Carrying out conflict checks and opening new matters on the firm's systems.
Deal with confidential, sensitive and restricted internal and client matters.
Ad hoc support to campaign and marketing activities.
Provide assistance with billing (including sending invoices to clients) and debt recovery.
Effective liaison with support staff to manage workloads efficiently.
Assisting with other work allocated by the Team Manager.
Work in accordance with Weightmans' values.
About You
You will have previous experience and a genuine and demonstrable interest in the above area of work.
We also require you to have/be: Experience of aviation or a demonstrated interest is desirable.
Experience of doing some fee-earning work is desirable, willingness to do so is essential.
Outgoing, professional and confident with a positive attitude.
Excellent IT skills - including Excel and PowerPoint, but should be able to turn your hand to other software, such as ShareFile.
Maintain a high level of accuracy.
Being proactive, where appropriate.
Fully understands the importance of confidentiality, both internally and externally
A self-starter with a strong sense of loyalty to the team and professional pride in your work product
Fluency in English essential
Any additional language skills are an asset
Flexible, pro-active and works well under pressure
Excellent organisation and time-management skills
Good teamwork skills
Training on the job will be provided, where appropriate
