Brief description



The Estate Office Administrator will be responsible for ensuring accurate and timely accounts administration for the different areas of Northrepps Estate (excluding Forest Park Caravan Site Ltd). They will also work to provide high level administrative and PA support to the Directors/Owner of the businesses and his family, as required.

A keen eye for detail is essential, together with diligent and organized methods of working to ensure optimum efficiency and pro-activity.

A "can-do", flexible attitude with a willingness to contribute to the smooth running of the Estate is also essential.

Key Responsibilities



ACCOUNTS ADMINISTRATION

To ensure that all Farm, Net Communications 2 Ltd, and personal / family invoices are paid for on time and accounted for in Sage as appropriate.

To ensure that all expenditure has been approved by the appropriate internal authority, prior to payments being made.

To communicate with internal and external parties as necessary regarding payments and the status of supplier accounts.

To co-ordinate with the Forest Park Accounts Manager to ensure that all payments across the estate are paid, captured and accounted for in the correct way.

To co-ordinate with the Forest Park Accounts Manager to manage the accounts with Anglia Farmers and Amazon, liaising with the key account managers to ensure accurate apportionment of costs across the estate.

To ensure that the estate-wide insurance is renewed annually, liaising with the Directors to confirm that the cover remains appropriate and inclusive of all necessary areas.

To work with the Forest Park maintenance manager to ensure that the fleet of company vehicles are insured, taxed and MOT'd as necessary.

To work with external estate agencies to ensure that all administration and accounting for estate properties is kept up to date, e.g. utility accounts, tenancy agreements, maintenance requests.

To work with the Forest Park maintenance manager and external estate agents to ensure property repairs are carried out in a timely manner and within budget.

To cover for the Forest Park Accounts Manager in her absence and provide assistance during busy periods.

To work with the company accountants to ensure all accounting administration is consistent with the agreed tax arrangements, including VAT, for the different companies and the Director/Owner.

To work with the Office Manager at Net Communications 2 Ltd to ensure efficient and co-ordinated accounts management within Sage. To provide the necessary documentation for contract renewals, developing an efficient system for tracking such renewal dates and customer payments.

PERSONAL ASSISTANT DUTIES

To provide confidential, pro-active, administrative and PA support to the Director/Owner and his family members, as requested. This will include (but is not limited to) diary management, booking events, taking minutes at meetings, making payments, responding to correspondence, organizing paperwork, organizing archives for family history, carrying out errands, liaising with both domestic staff and other company employees etc.

To assist, as requested, with the planning and event management of the owner's wedding in July 2026.

Essential Qualifications and requirements

Proficiency in Microsoft Office suite, including Excel.

Knowledge of Sage Accounting software (desirable, not essential)

Reporting Line



This role reports to the Director/Owner.

Working conditions



This is a part-time role, 27.5 hours per week. Hours of work are 9.30am to 3pm every week day.

28 days holiday per year (pro-rata), including bank holidays.

Pay: Up to 28,000.00 per year
