The Job Purpose:
As the face of Futaba Burnley, the Receptionist / Administrator aims to ensure the delivery of an efficient, effective, friendly, welcoming and professional customer service to all customers (internal and external). This is achieved by focusing on the presentation of front of house, providing a pro-active and responsive service to the needs of our customers and identifying opportunities where processes can be improved. This actively contributes towards meeting company quality and safety standards (where applicable) whilst portraying the company values and behaviours.
Key areas of responsibility:
Welcome visitors, answer phone calls, letters and emails and/or direct these communications to the correct department/person.
Act as an administrator for various departments
Key Areas of responsibility:
Representing the business with a positive attitude and professional appearance
Greeting visitors to the facility warmly and offering them help immediately
Carry out general inductions to the site including any personal protective equipment requirements, H&S guidelines and ensure visitor badge is supplied and is clearly visible.
Answer the phone in a timely manner and direct calls to the correct colleagues.
Operation and escalation of the fire alarm system
Management and control of car park barriers
General office administration supporting the wider management team.
Completion of operations administration such as logging, scanning/printing/filing of documents to relevant areas, general admin for the operations team.
Maintain a clean and tidy reception area and meeting rooms
Keeping basic office supplies and PPE stocked and accessible to visitors
Setting up meeting facilities including organising and arranging lunches and refreshments
Arranging for catering for meetings and daily office use
Supporting the administration of engagement and social activities
Providing customer support
Answering questions about products or services offered at the business
Interacting with other departments such as Information Technology (IT) when someone needs more technical assistance
Scheduling appointments and meeting times
Maintaining front door security and reporting any suspicious activity
Engaging in public relations and marketing to a minor degree
