The Sales Property Administrator provides administrative and operational support to the property sales team, ensuring property listings, client records, and sales documentation are accurately maintained. The role supports sales negotiators by handling enquiries, preparing documentation, and maintaining compliance, without involvement in post-offer sales progression.
Key Responsibilities Sales & Listing Administration
Prepare and manage sales documentation for listing on the market
Maintain accurate records for property instructions, offers, and client details
Upload and update property listings on CRM systems and property portals
Ensure marketing information, floorplans, and photographs are correctly filed and displayed
Client & Enquiry Handling
Act as a first point of contact for buyer and seller enquiries
Manage incoming calls, emails, and portal enquiries in a professional and timely manner
Support sales negotiators with follow-ups, confirmations, and appointment administration
Handle general client queries, escalating where appropriate
Compliance & Documentation
Complete and record AML, Right to Sell, and client due diligence checks
Ensure compliance with company policies, regulatory requirements, and GDPR standards
Maintain accurate and confidential client files and records
Office & Team Support
Provide administrative support to sales negotiators and sales management
Manage diaries, viewings schedules, and meeting bookings
Assist with onboarding new instructions and preparing marketing packs
Support ad-hoc administrative tasks to ensure smooth day-to-day sales operations
Skills & Experience Essential
Previous experience in an administrative role (property or sales environment desirable)
Strong organisational skills and attention to detail
Confident written and verbal communication skills
Ability to manage multiple tasks in a fast-paced environment
Proficient in Microsoft Office (Word, Excel, Outlook)
Desirable
Experience in estate agency or property sales administration
Familiarity with CRM systems and property portals (e.g. Rightmove, Zoopla)
Customer service or client-facing experience
