About Us



Wood Lane Community Centre, a vibrant and essential hub for the local community, is managed by Greets Green Community Enterprises (GGCE). We provide a wide range of services and activities that support residents, families, and community groups. We are looking for a reliable and experienced part-time Community Centre Administrator to cover front office and secretarial duties while assisting in the growth and development of community activities.

Job Purpose



To deliver front office reception, administrative, and secretarial support, ensuring that visitors, service users, and staff are assisted professionally. You will be integral in managing the day-to-day operations of the community centre, promoting new activities, and supporting the CEO and team in essential office tasks.

Main Duties & Responsibilities



Front Office Reception & Administration

: Greet visitors, service users, and contractors in a friendly and professional manner. Answer telephone calls, respond to emails, and handle general enquiries. Manage room bookings, update schedules, and maintain a bookings diary. Perform general office duties, including filing, photocopying, scanning, and maintaining records. Provide secretarial support, including typing letters, reports, and taking meeting minutes.

Community Support & Development



Help organise and support regular community activities, such as coffee mornings, digital support sessions, social events, and other community-led initiatives. Support local residents with digital skills, including using smartphones, online forms, and providing basic IT help. Work with the CEO to develop and promote new community activities based on identified local needs and feedback. Assist with the planning and delivery of grant-funded projects as they are awarded, supporting with administration, coordination, and promotion. Engage with residents, community groups, and local partners to increase participation and use of the centre's facilities. Support charity capacity building efforts by helping to create, promote, and grow community-led programs and services. Assist with marketing and publicity, including creating content for social media, newsletters, flyers, and local outreach. Collect and report data on centre usage, event attendance, community outcomes, and feedback to inform service improvements and future development.

Safeguarding & Health & Safety

: Adhere to safeguarding, confidentiality, and data protection policies at all times. Assist with the setup of rooms and activities, ensuring that safety procedures are followed. Monitor customer usage of the centre, reporting any issues regarding anti-social behaviour or safety concerns.

Additional Duties

: Provide support for fundraising or charity capacity-building activities as required. Support volunteers and ensure high levels of service delivery through training and development. Ensure the reception and front office area is kept clean and organised. Record and monitor attendance at events and activities.

Person Specification



Essential

:

Experience in office administration, reception, or secretarial roles. Proficient in Microsoft Word, Excel, and Outlook. Strong communication and customer service skills. Able to work independently and manage time effectively. Reliable, well-organised, and friendly. Understanding of confidentiality and data protection principles. Must be willing to undergo and pass an Enhanced DBS (Disclosure and Barring Service) check.

Desirable

:

Experience in a community centre or charity setting. Basic knowledge of social media platforms and content creation. Experience with bookings management and minute writing. Familiarity with charity capacity building and fundraising.
