We are seeking an experienced and highly competent Service Charge Accounts Executive to join our growing team on a part-time basis. This role supports the Managing Director in executing all core financial operations relating to leasehold property management across a diverse and expanding portfolio.
This is a pivotal support role as the company transitions into a more modern, digitised operating model. The successful candidate will take ownership of day-to-day accounting functions, contribute to the streamlining of processes, and collaborate on year-end financial reporting and service charge compliance.
While formal qualifications are not essential, hands-on industry experience in leasehold service charge accounting is critical.
Key Responsibilities
Service Charge Accounting & Financial Operations
Prepare and review annual service charge income & expenditure reports for the full portfolio*
Produce service charge summaries and budget statements for leaseholders, directors, and freeholders*
Maintain accurate records for 100+ designated bank accounts*
Carry out accrual-based accounting and period-based reconciliations*
Assist with annual budget preparation and re-forecasting exercises*
Audit & Compliance
Coordinate with external accountants to finalise year-end service charge accounts*
Align internally prepared balances with audited financial statements*
Perform internal audits on billing accuracy, managing discrepancies and rectifying anomalies*
Identify and mitigate revenue leakage and cost inefficiencies*
Support Companies House filings (confirmation statements, company accounts.)*
System Migration & Process Optimisation
Collaborate on the implementation of new property management/accounting software*
Help design and embed more modern, automated, and scalable financial workflows*
Provide insights and recommendations for improved internal controls*
Experience & Competency Requirements
Essential:
Minimum 2 years' experience in residential block/estate management finance*
Thorough understanding of service charge accounting and ARMA/RICS compliance*
Proficient in accrual accounting and reconciliations for leasehold portfolios*
Comfortable managing a large number of designated client accounts*
Strong audit awareness and financial accuracy*
Proven track record of working autonomously and meeting deadlines*
Desirable:
Experience using QuickBooks and/or Blocks Online (or similar block management software)*
Involvement in migration to new finance systems or automation tools*
Understanding of Section 20B notice implications, reserve funds, and apportionment rules*
Familiarity with working alongside property managers, freeholders, and RTM companies*
Strategic Importance of the Role
This is a replacement and strategic growth hire. The role is designed to allow the Managing Director to transition away from operational finance and focus on the wider expansion strategy. The successful candidate will become an integral part of the operational core, enabling scalable growth and transformation through efficiency, accuracy, and professional oversight of service charge finances.
