Job Purpose



We are seeking a professional and organised Part-Time Operations Assistant to join our dynamic team at Tennis Icon UK, a leading tennis company across London. This role will provide essential administrative and operational support across multiple departments while contributing to the smooth operation of our business in the exciting world of tennis.

Main Duties



Administrative Support



Provide administrative assistance to various departments including sales, marketing, and operations Manage company incoming calls, emails, and correspondence with professionalism and efficiency Schedule appointments and coordinate meetings across different teams Maintain accurate filing systems and ensure proper document management Prepare routine correspondence, memos, and reports as required Support financial record keeping by using Xero for invoicing and expense tracking Chase outstanding client invoices by email and telephone. Provide a report of cases that need to be escalated for management attention Assist with data research projects

PA Support



Manage CEO's email inboxes and act as a first point of contact by responding, passing on messages or highlighting them for CEO's attention Manage diaries and organise meetings and appointments, often controlling access to the CEO Reminding the CEO of important tasks and deadlines Typing, compiling and preparing reports, presentations and correspondence Liaise with staff, suppliers and clients Miscellaneous tasks to support CEO/Department Managers

Customer Service



Serve as first point of contact for visitors and phone inquiries for Tennis Icon UK and Racquet Club London Assist customers with general inquiries about products and services Direct customer queries to appropriate team members Process customer feedback and route to relevant departments

Office Management



Coordinate office supplies and inventory management Assist with event planning and coordination for company meetings and events Manage appointment calendars for multiple team members Support facilities management and liaise with building/venue maintenance teams Maintain professional office area and always ensure welcoming environment Handle mail distribution and courier services

Data Management



Input and update customer information in company database systems Maintain accurate records and assist with data entry projects Generate basic reports and summaries as requested Support inventory tracking and administrative processes Assist with order processing and documentation Implement and maintain procedures/administrative systems

Experience & Skills



Minimum 2-3 years of administrative or secretarial experience, retail or customer-facing environments Interest in Sport (preferably tennis but not essential) Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Strong typing skills with high accuracy Experience with basic office equipment Familiarity with database management and data entry processes Familiarity with CRM systems or e-commerce platforms Basic bookkeeping or accounting knowledge Previous experience in fast-paced, growing companies
