Job Description

Purpose of the Role



To organise and oversee the smooth running of the day-to-day branch administrative functions, in compliance with the RSPCA branch policies.

To undertake reception duties at Preston animal centre, including welcoming visitors and ensuring they are dealt with promptly and efficiently, representing the branch with a positive attitude and professional appearance.

Main Duties



Comply with data protection/GDPR legislation at all times and maintain and implement the branch personal data retention, schedule-filing, organisation and archiving.
Be the first point of contact for all inbound enquiries via telephone calls and emails, dealing with them in a professional, empathetic manner or passing them on to an appropriate person.
Promote animal welfare and RSPCA key values to the public.
Undertake reception duties, including receiving visitors ensuring that they are dealt with promptly and efficiently.
Manage branch correspondence- receiving, sorting and distributing daily mail/deliveries.
Create and maintain records, databases and filing systems (manual and electronic) to ensure that there is an accurate and consistently updated source of information available to senior management and animal centre staff.
Provide administrative support for the animal admission and rehoming processes.
Help produce animal adoption packs, registering microchips and ensuring adoption fees and paperwork have all been completed and received.
Manage inventory and order supplies as directed by the senior management team.
Assist with development and distribution of relevant documents and branch communications.

Finance



Receive payments and donations from the public- handling cash, cheques and card payments correctly.

Public/Staff/volunteers



Provide a professional and courteous service to the public in person or via telephone, email and social media.
Support animal centre staff and volunteers to enable them to do duties and be sympathetic to the challenges that they face.

Promotion, communication and events



Maintain regular social media contact with the public and supporters.
Maintain the branch website and social media sites used for promoting branch animals e.g. uploading profiles, marking when reserved and removing posts in a timely fashion.
Be aware of the rehoming policies and procedures for each species in the care of the branch.
Assist the volunteer home visitor coordinator with the allocation of follow-up of home visits.
Coordinate, manage and promote the volunteer and foster network, including targets of bringing on new volunteers and fosterers.

General



Perform daily fire safety checks and the filling of appropriate paperwork.
Keep the reception and office areas clean and organised at all times.
Monitor the security camera system when in the reception area- reporting any suspicious activity.
To perform any other duties as directed by the senior management team which are in keeping with your post or for which training has been given.

While at work all staff/volunteers are required to-



Adhere to the branches charitable objectives which are to promote kindness and prevent cruelty to animals.
Take care of their own health and safety and that of others who may be affected by their acts and omissions.
Follow branch policies and procedures for health and safety.

Additional information



To provide cover in the event of animal centre staff shortages including basic occasional animal care duties.
Attend meetings and training courses as required.

Pay: 12.21 per hour

Expected hours: 22.5 per week
