Our reception team are often the first people a patient comes into contact with. They ensure they get the right support at the right time for the patient from the wider practice team and the community, making sure that their care is right for them.

Experience
We are looking for
Previous experience in a receptionist or administrative role.
Someone who has a back ground in working for a GP surgery or a clinical setting; this would be very beneficial however this is not essential. A supportive and comprehensive induction and training will be provided.
Experience of dealing with conversations by telephone and/or face to face
Experience in customer care or similar service industry practices
Someone who has excellent communication and a professional phone manner, can pay attention to detail and be able to stay calm under pressure. Has good listening skills, with the ability to maintain focus, recognise distractions and deal with them appropriately.
IT skills are essential, someone who has had previous experience using word, excel and outlook.
Someone who likes working as part of a close knit team
Our practice is open from 8am-6.30pm Monday to Friday and staff are expected to cover a shift that either starts at 8am or finishes at 6.30 pm across the week, from Monday to Friday. This role is part time at 28 hours per week, but can be negotiated for the right candidate, and will predominately be towards the end of the week but must include working on a Friday.
Staff are also expected to cover holiday and sickness to assist is in providing a quality service to our patients.

Offer general assistance to the Practice Team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Offering choice where appropriate.
Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of clerical and audit support to clinical staff and other members of the Practice Team.
Ensure that we comply with patient confidentiality and Data Protection requirements.
Facilitate effective communication between patients, members of the Primary Care Health Team, Secondary Care and other associated healthcare agencies.
Deal with complaints in accordance with the Practice Complaints Procedure.
Opening up/locking up of practice premises and maintaining security in accordance with practice protocols.
Registering patients to the Practice, ensuring identification procedures are adhered to and providing new patients with assistance in the registration process and the issuing of practice leaflets and prescribing information.
Processing in person and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
Working with the Access Doctor to make appointments, gather information and signpost patients as directed.
Processing and printing repeat prescriptions and liaising with clinicians regarding associated queries.
Chaperoning on behalf of both patients and clinicians (training provided).
Processing and distributing incoming/outgoing mail.
Taking messages and passing on information effectively and in an appropriate time frame.
Filing and retrieving paperwork.
Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
Electronic processing of incoming pathology results and associated administration.
Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.
Clearing and re-stock consulting rooms as required.
Providing clerical assistance as required from time to time, including word/data processing, filing, photocopying and scanning.
Coordinating the collection of clinical waste weekly.
Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter.
To provide cover for colleagues who are on leave/sick across the full range of administration duties in the Surgery.
