We are a friendly, modern Private and NHS Dental Practice in Harrow, using the latest technology and continuously investing in our team and services. We are a small but growing practice with a strong focus on patient care, communication and a positive team culture.
This role will be our third receptionist, with a special focus on patient communications and marketing.
The Role
We are looking for a Patient Communications & Reception Administrator to join our team on a full-time basis (including Saturdays).
You will work on reception as part of the front-of-house team and help us manage and improve how we communicate with our patients and referrers.
Working hours:
- Monday - Friday: 8:45am - 5:30pm
- Saturday: 8:45am - 2:30pm
(Exact working pattern can be discussed at interview.)
Key Responsibilities:
Reception / Front of House
- Welcoming patients and providing a warm, professional first impression
- Answering calls, emails and WhatsApp messages from patients
- Booking, rescheduling and managing appointments
- Taking payments and assisting with basic admin tasks
Patient Communications & Administration
- Drafting and sending letters/emails to patients (treatment plans, follow-ups, reminders, etc.)
- Writing back to dentists who refer patients in and helping manage referral communication
- Helping create and maintain clear, friendly communication templates
Marketing, Reviews & Social Media
- Helping us manage and respond to Google reviews
- Encouraging and collecting patient testimonials (with consent)
- Creating engaging content for social media (photos, short videos, stories, posts)
- Helping capture and organise photos/videos from the practice (e.g. team, before/after smiles where appropriate and consented)
About You
We are looking for someone who is:
- Confident - happy speaking with patients in person, on the phone and via messages
- Articulate in written English - able to draft clear, professional, friendly letters and emails
- Well presented & professional - representing the practice brand and values
- Full of initiative - spots what needs doing and gets involved
- Has a strong "willingness to help" attitude - a genuine team player
- Candidate that is inclined to additionally train in dental nursing as an apprentice will be favourable
It would be an advantage if you:
- Have reception, admin or customer service experience, ideally in a dental/medical or client-facing role
- Enjoy social media and basic content creation (photos, reels, short videos, Canva/Instagram etc.)
- Are comfortable using IT systems and learning new software
Full training and guidance will be provided - we're more interested in the right attitude and personality than a perfect CV.
