JOB DESCRIPTION



SHIFT PATTERN:



Monday - 16:00 - 20:15



Tuesday - 16:00 - 20:15



Thursday - 08:00 - 19:00 (30 min unpaid lunch break)



Friday - 13:30 - 18:30



Candidates are expected to cover annual leave and sickness which will be paid at your normal hourly rate.

Overtime is allocated between staff on a monthly basis.

Patient - Coordinator



THE PURPOSE OF THIS ROLE IS TO



Assist the practice team and project a positive and professional image to patients, visitors and outside agencies, either in person or via the telephone Receive, assist and direct patients in accessing the appropriate service of healthcare professional, in a courteous, efficient and effective way Undertake a variety of administrative duties to assist the smooth running of the practice, including multiple clerical support to clinical staff and the practice team To convey effective, concise communication between patients, the primary health care team, secondary care, and other outside agencies

DUTIES AND RESPONSIBILITIES



The duties and responsibilities to be undertaken by members of the administration team include the following. The duties will be varied. Direction will come from the Practice Manager, Deputy Practice Manager or Office Supervisor

Opening and locking the premises - following practice protocol Manage a busy reception, dealing with multiple patient queries including a busy walk-in clinic Manage the busy switchboard dealing with multiple patient queries politely and promptly. Re-direct calls appropriately and pass on messages in an accurate manner Book interpreters for patients requiring assistance with language Book patients' appointments with clinical staff Maintaining the practice appointment system - following practice protocol Respond to all queries and requests for assistance from patients and outside agencies efficiently and concisely Request and booking of ambulance to be carried out - following practice protocol Record home visits - following practice protocol Dealing with medication requests and queries Handling samples for pathology testing Process repeat prescriptions where necessary - following practice protocol Liaise with doctors and attached staff Report requirements for any stationary as stocks reduce Processing of incoming and outgoing mail Scanning documents into clinical record Check and action emails Check and action online queries from patients Filing and retrieving records Filing all correspondence in strict numerical and alphabetical order Computer data entry General tidiness of their working area
The successful candidate would be expected to work alongside their team members during extended opening hours. They would also be expected to be flexible for overtime cover over and above their set rota covering at short notice.

Performance Reviews, appraisals Mandatory training i.e., Basic Life Support Any training programme considered to be vital to the continued skills of the post holder
