Key Responsibilities
Patient Interaction & Scheduling
Greet and check in/outpatients in a warm, friendly, and efficient manner.
Answer phone calls, respond to enquiries, and schedule/reschedule appointments promptly (ideally within three rings).
Coordinate patient flow -- monitor waiting times, refer to a clinician when needed, keep the wider team informed, and constantly seek ways to improve the patient experience.
Insurance & Billing
Present treatment costs and take payments, managing both self-pay and insured patients
Treatment Coordination
Communicate treatment plans clearly and follow up on required actions or orders
Assist the clinical team -- ensure rooms are set up and the centre is patient-ready to deliver a seamless and exemplary experience
Administrative Support
Maintain accurate patient and insurance records in the clinical system
Generate reports and present information using Microsoft Office
Order and maintain inventory
Keep the centre area neat and support team meetings and internal training
Compliance & Customer Focus
Protect patient confidentiality and uphold data security
Deliver outstanding customer service -- resolve concerns, and educate patients on treatments, services, and follow-ups

Education & Experience

Experience in healthcare or customer-facing roles within
opticians, dentists, private clinics, or similar
is an advantage.

Excellent verbal and written communication

Proficiency in Microsoft Office (Word, Excel, Outlook, etc.)
Basic arithmetic for billing and invoicing
Calm, empathetic, and confident -- especially when setting clear boundaries (e.g. not giving clinical advice)
Willingness to learn medical terminology quickly

Working Conditions & Benefits
