To provide efficient reception services and administrative support to all occupants of, and visitors to the clinic.
The post holder will be expected to provide the highest levels of customer care at all times.
The post holder will work as a member of the multi-disciplinary team, both within the Clinic and with other service users, ensuring good and effective communication is maintained.
Key Results Area:
To gain a working knowledge of the specialist areas within the clinic enabling sympathetic communication to patients and effective support to the clinical teams.
To receive and welcome patients to the Clinic, ensuring the highest standards of customer care are maintained.
To receive and welcome all visitors to the building, including maintenance staff, drug company representatives, other healthcare professionals.
To ensure all visitors are issued with visitors passes and the building protocols with regard to non-staff are adhered to.
To maintain accurate records of all non-staff in the building at any time for fire and safety purposes.
To ensure that the reception area is maintained to a high standard and is presentable at all times and that the waiting areas and drinks dispensers are kept clean and tidy and fully stocked.
To give information, face to face and over the telephone, to prospective patients, patients in treatment and healthcare professionals regarding the work of the clinic and their treatment cycles, ensuring that it is up to date and accurate. To be aware of own limitations and when to pass a query to medical or nursing staff.
To process payments for services and as required chase outstanding payments, in line with company policy.
To assist the Clinic staff with the production of letters, reports, posters etc. using the appropriate word processing packages.
To assist in the updating of patient case notes, including the checking of confidential personal information on the relevant computer systems, making amendments to medical record case notes, correcting details on computer systems and producing labels.
To assist in ensuring that the information stored on the Clinic's patient database is kept up to date and is accurate.
To cancel and remake appointments as and when required, either at the request of individual patients or Clinic staff.
As required participate in any patient open evenings.
To ensure that the post is opened, date-stamped and either actioned or distributed to relevant members of staff on a daily basis.
To demonstrate an ability to concentrate for prolonged periods and to apply accuracy and attention to detail even in adverse conditions e.g. entering data onto computer system.
To develop and maintain personal and professional growth. To have responsibility for ensuring annual appraisal and personal development plan.
To ensure all annual mandatory training and updates are completed and necessary records maintained. E.g. work station assessment, fire training.
To ensure that patient confidentiality is maintained at all times in line with company policy and the HFEA Code of Practice.
To ensure that all patient information, computer systems and offices are kept secure in line with company protocols, HFEA regulations and Quality Management Standards.
